About the Role
As a Vehicle Administrator, you'll play a pivotal role in supporting the day-to-day operations of the dealership across vehicle administration, registrations, accounts processing and deal management.
You'll be responsible for ensuring all vehicle transactions are processed accurately and efficiently while maintaining strong relationships with internal departments, manufacturers, suppliers and customers.
Key Responsibilities Vehicle Administration-
Process new, used and wholesale vehicle deals

Accept, invoice and finalise vehicle transactions

Register vehicles and manage acquisitions, disposals and renewals through the Dealer Online System

Process licensing documentation, plate returns and registration-related paperwork
-
Prepare vehicle delivery packs and supporting documentation
-
Maintain vehicle records, warranty information and trade-in details
-
Complete end-of-month vehicle administration procedures
-
Archive vehicle deals and maintain accurate records
Accounts & Financial Administration-
Process purchase orders and supplier invoices accurately and on time

Reconcile daily banking transactions and creditor accounts
-
Upload and allocate payments accurately
-
Assist with creditor management and financial record keeping
-
Review deal documentation to ensure accuracy and compliance
-
Process fleet claims, assisted fleet claims and related documentation
Administrative Support-
Maintain organised filing and documentation systems
-
Perform data entry and general administration duties
-
Coordinate paperwork relating to vehicle purchases and repairs
-
Liaise professionally with customers, suppliers and internal stakeholders
-
Support various departments to ensure smooth dealership operations
About You
To be successful in this role, you'll bring:

Previous experience in vehicle administration, dealership administration, accounts administration, or a similar role

Strong attention to detail and exceptional organisational skills

Experience processing vehicle registrations, licensing, or automotive transactions (highly desirable)

Excellent data entry accuracy and time management skills

Strong communication skills and a customer-first mindset

Ability to prioritise multiple tasks in a fast-paced environment

Intermediate computer skills across dealership management systems and Microsoft Office

A proactive attitude and willingness to support the wider team
