Calm Space Psychology Services is seeking a reliable and organised Administrative Assistant to join our warm and professional team in Jimboomba, QLD. Our admin team supports the flow of the practice from first contact through to ongoing care. This role suits someone who enjoys a fast-moving environment, can confidently manage competing priorities, and finds satisfaction in keeping things running smoothly under pressure.
Please note: Our practice is based in Jimboomba and is best suited to those who live locally or are comfortable with a longer commute.

The Role
Hours: 10–15 hours per week (with potential to increase)
Start Date: Flexible
You will support both front-of-house and behind-the-scenes operations, ensuring a smooth, organised, and professional experience for all clients and team members.
Key Responsibilities
- Manage front desk operations including calls, emails, bookings, and client enquiries
- Coordinate multiple tasks at once, balancing phones, appointments, and in-person client support
- Support client intake processes and maintain accurate records
- Process payments and invoices
- Provide consistent, professional communication, including during high-pressure situations
- Support clinicians and leadership with day-to-day administrative needs
- Maintain confidentiality and adhere to all clinic policies
- Keep the clinic environment organised, calm, and presentable

- Clear and respectful communication (written and verbal)
- Reliable, self-motivated, and able to follow through on tasks independently
- Confidence using Microsoft Office, Gmail, and willingness to learn new systems
- Commitment to confidentiality and professional boundaries
Desirable
- Experience in health, medical, or client-facing administrative roles
- Current Blue Card (Working with Children Check), or willingness to obtain
- Availability across weekdays, including school hours and school holidays
