Operations Coordinator — keep three cleaning crews running
Metro Filters cleans kitchen range hoods & exhaust fans in commercial kitchens: restaurants, hotels, aged care homes, prisons and shopping centres. We have three two-person crews out every day, and we're looking for the person who keeps them organised.
This is a hands-on coordination role.. The schedule is already planned, your role is to make sure it happens, solve problems as they come up, and close the loop on completed jobs.
What you'll do
- Keep the job calendar accurate, record actual start and finish times and add pricing against each job
- Be first responder when a job doesn't get done: find out why, call the customer and lock in a new date (with office support behind you)
- Send day-before reminders to customers
- Prepare each crew's run: job sheets, attachments, stickers and paperwork, distributing cleaning materials.
- Be the crews' first call when something goes wrong on site, sort out access, clarify instructions, find the right contact.
- Manage site inductions and work orders, including for large shopping centres, and keep them current
- Take customer calls and resolve issues
- File before-and-after job photos and process completed paperwork
- Chase overdue accounts by phone and text
What you need
- Solid Excel skills, you can build and fix formulas, not just enter data
- Confident on the phone with customers
- Organised, with a lot of small details in the air at once
- Calm when three crews need you at the same time
Nice to have
- Excel macros or VBA
- Experience coordinating field service, trade or cleaning crews
- Familiarity with site induction and work order systems
- Accounts receivable experience
