Kieler Brown Realty is seeking a motivated and professional Real Estate Assistant to support both our Sales and Property Management teams. This role is ideal for someone looking to build a long-term career in real estate while gaining exposure to all aspects of the industry.
You will work closely with our agents and property managers to ensure exceptional customer service and smooth day-to-day operations.
Key Responsibilities
Sales Support
- Assist with preparing sales listings and marketing materials.
- Coordinate photography, floor plans and advertising campaigns.
- Organise and attend open homes and private inspections.
- Manage buyer enquiries and database updates.
- Follow up prospective buyers and vendors.
- Prepare sales documentation and contracts.
- Assist agents with prospecting and lead generation activities.
- Maintain CRM systems and client records.
Property Management Support
- Assist with leasing enquiries and tenant applications.
- Coordinate routine inspections and entry condition reports.
- Schedule maintenance requests and liaise with contractors.
- Prepare lease documentation and renewals.
- Support rental arrears management and tenant communications.
- Assist with owner reporting and statements.
- Maintain accurate property files and records.
Administration
- Provide excellent customer service to clients and visitors.
- Answer phones and respond to emails promptly.
- Maintain office systems and documentation.
- Support social media and marketing activities.
- Assist with general office administration duties.
Skills and Experience
- Excellent communication and interpersonal skills.
- Strong organisational and time management abilities.
- High attention to detail.
- Professional presentation and positive attitude.
- Ability to work in a fast-paced environment.
- Proficiency in Microsoft Office and CRM systems.
- Experience with PropertyMe, Property Tree, VaultRE or similar software is advantageous.
- Current Victorian Driver’s Licence and reliable vehicle preferred.
- Current Agent’s Representative Certificate or willingness to obtain one.
