The opportunity

We are seeking a dedicated Administration Support Officer to join our Allied Health & Chronic Disease Care Team and play a vital role in ensuring the smooth delivery of high-quality, client-centred healthcare services. About the Role
As an Administration Support Officer, you will provide comprehensive administration and operational support to our multidisciplinary clinical teams. Working closely with clinicians, managers and internal stakeholders, you will coordinate a range of administrative functions that support day-to-day service delivery and patient care.
This will include administration tasks such diary management; interpreter bookings; booking, rescheduling, and cancelling clients and group therapies; room and resource booking; and general administrative tasks including liaison with other departments as required to enable Allied Health & Chronic Disease Care teams to deliver accessible, high quality, safe, and sustainable services.
Reporting to the Senior Manager, Allied Health & Chronic Disease, this Permanent part-time (0.6 EFT) position, offers flexibility and the opportunity to work across a range of AccessHC locations, including Doncaster, Hawthorn, Richmond, and Lilydale.

What you will be doing
-
Provide accurate and timely administrative support to the Allied Health & Chronic Disease Care Clinicians and team

Manage clinician diaries, schedules and appointment coordination

Arrange interpreter services to support accessible healthcare delivery
-
Book, reschedule and cancel client appointments and group programs
-
Coordinate room bookings and resource allocation across services
-
Liaise with internal departments and stakeholders to support seamless service operations
-
Maintain accurate records, documentation and data entry within clinical and organisational systems such as Electronic Health Record, Aged Care systems

Record billable tasks to contribute to organisational targets

Support the delivery of high-quality healthcare services through efficient administration processes
What you will bring Key Selection Criteria

Experience providing administrative support and maintaining records, systems, and processes in a healthcare, community services, or similar environment
-
Demonstrated experience of effectively managing relationships with clients, carers and allied health staff
-
Proven ability to meet deadlines, manage multiple priorities
-
High level of accuracy and attention to detail
-
Strong proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and familiarity with databases and client management systems
Desirable
- Experience working within Allied Health and different funding models

Familiarity with health data management systems such as TrakCare
