Contract Administrator – Car RentalJob Summary

We are looking for a detail-oriented and organized Contract Administrator to support our car rental operations. The role is responsible for preparing, reviewing, maintaining, and monitoring rental contracts and related documentation, while coordinating with customers, rental partners, and internal teams to ensure contracts are accurate, complete, and compliant with company policies.

The ideal candidate should have strong administrative and coordination skills, good attention to detail, and the ability to manage multiple contracts and operational tasks in a fast-paced environment.

Key Responsibilities

Prepare, review, and process car rental contracts and related documents.
Ensure all rental agreements, customer information, vehicle details, rental periods, rates, deposits, and other contractual information are accurate and complete.
Maintain and update contract records, customer documents, and rental-related information in company systems.
Monitor contract status, rental periods, extensions, renewals, returns, and contract closures.
Coordinate with customers regarding contract details, amendments, extensions, payments, deposits, and other rental-related matters.
Coordinate with internal departments and rental partners to ensure smooth contract and vehicle rental operations.
Handle contract amendments, extensions, cancellations, and other changes in accordance with company policies.
Check supporting documents and ensure all required documentation is properly completed and filed.
Monitor outstanding documents, payments, deposits, and other contractual requirements.
Maintain an organized filing system for both physical and digital contracts.
Prepare reports and summaries related to contracts, rentals, and administrative activities.
Follow up on pending issues and coordinate with relevant parties to resolve discrepancies or incomplete information.
Ensure all contract-related processes comply with company policies, procedures, and applicable regulations.
Support general administrative and operational tasks related to the car rental business as required.

Requirements

Bachelor’s degree in Business Administration, Management, Law, or a related field.
Previous experience in contract administration, administrative coordination, rental business, automotive, logistics, hospitality, or a related field is preferred.
Strong attention to detail and accuracy.
Good organizational and time-management skills.
Able to manage multiple contracts and tasks simultaneously.
Good communication and coordination skills.
Proficient in Microsoft Office, particularly Excel and Word.
Comfortable working with documents, databases, and administrative systems.
Able to work independently and as part of a team.
Good problem-solving and follow-up skills.
Good command of English is an advantage.
Preferred Qualifications
Experience with car rental, leasing, fleet management, automotive, or transportation businesses.
Experience handling customer contracts and supporting documents.
Knowledge of rental agreements, deposits, insurance, vehicle handover/return procedures, or fleet-related documentation.
Experience using CRM, ERP, rental management, or contract management systems.
