WesTrac is seeking a customer-focused and highly organised Service Advisor to join our team in Dubbo. Reporting to the Service Supervisor, you’ll play a critical role in coordinating workshop and field service activities, acting as the key link between our customers, technicians and internal stakeholders. You’ll ensure service work is planned, communicated and completed efficiently, delivering an exceptional customer experience from initial enquiry through to job completion. Working in a fast-paced environment, you’ll be responsible for scheduling service activities, managing work orders, monitoring job progress and maintaining regular communication with customers. Your ability to build strong relationships, prioritise competing demands and support operational efficiency will contribute directly to the success of the Dubbo branch.
Key responsibilities
- Act as the primary point of contact for customers regarding service and repair activities.
- Coordinate workshop and field service jobs, ensuring resources are scheduled effectively to meet customer requirements.
- Create, manage and close work orders while maintaining accurate service documentation and records.
- Monitor job progress and provide customers with timely updates on repairs, maintenance and machine status.
- Work closely with Supervisors, Technicians and Parts teams to ensure efficient job execution and positive customer outcomes.
- Support operational performance through effective planning, invoicing, quoting and service administration activities.
Skills and Experience
- Previous experience in a Service Advisor, Service Coordinator, Administration or customer-facing support role.
- Strong communication and relationship-building skills with a commitment to delivering exceptional customer service.
- Excellent organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Experience coordinating schedules, work orders and service-related documentation.
- Strong attention to detail and proficiency using computer systems and business applications.
- Knowledge of the mining, construction, heavy equipment or automotive industries will be highly regarded.
