Full Job Description

About the Role

We are seeking an experienced and highly organised Executive Assistant to provide comprehensive executive support to our Chief Executive Officer (CEO) while also undertaking Company Secretary responsibilities and general legal administration.

The role plays a key part in ensuring effective governance, compliance, and executive operations across the organisation and requires exceptional organisational skills, discretion, and the ability to manage competing priorities within a fast-paced environment.

In this dynamic and high-trust role, you will manage the CEO’s calendar and appointments, meetings, correspondence, expenditure, and travel while also assisting the broader Executive team with a variety of support services.

You will be responsible for coordinating executive and board meetings, taking minutes, collating the Board Pack, handling Board enquiries, organising events and functions, and managing corporate travel along with maintaining statutory registers, governance related documentation and corporate records.

You will also be providing general legal administration support to the General Counsel and Legal team in maintaining legal document registers and filing systems.

This is a full time and ongoing role based in our head office in Melrose Park.

You’ll also experience the work/life balance that comes with working a 9-day fortnight, with a dedicated and fixed day off every second week. You will still receive the remuneration of a full-time employee in addition to the ability to salary sacrifice.

About You

To be successful in this role, you will:

Bring a positive attitude and energy! We’re looking for someone who creates a great working environment while managing tasks.
Take ownership of the role, offering ideas and implementing innovative ways of working that improve outcomes.
Have demonstrated experience providing executive support to senior leaders at an organisation wide level.
Have demonstrated experience supporting a Board or involvement in Company Secretary functions in a corporate setting.
Possess strong communication skills including the ability to liaise and coordinate with a range of stakeholders.
Be highly organised with a keen eye for detail in managing schedules, meetings, and documentation.
Ability to maintain confidentiality and handle sensitive information with discretion.
High proficiency in the Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and able to use or learn different board, contract and purchasing software systems.

Desirable Requirements

Formal qualifications in business administration, governance, or law (or working towards)
