Medical Receptionist | Theta Clinic

Location: Bendigo, VIC
Employment Type: Full-time / Part-time (negotiable)

Theta Clinic is a growing private mental health practice dedicated to providing compassionate, evidence-based care in a welcoming and supportive environment. We are seeking an organised, empathetic and professional Medical Receptionist to become an integral part of our team.

As the first point of contact for our patients, you will play an important role in creating a positive experience while ensuring the smooth day-to-day operation of the clinic.

About the Role

This is a varied and rewarding position where no two days are the same. You will work closely with our psychiatrists, psychologists and clinical team to support patients throughout their care journey.

Your responsibilities will include:

Welcoming patients and providing exceptional customer service.
Managing appointments, clinician diaries and patient enquiries.
Answering telephone calls and responding to emails.
Processing patient payments and Medicare claims.
Managing patient records and referrals.
Coordinating psychiatric, psychology and TMS appointments.
Assisting with telehealth administration.
Supporting the day-to-day administrative operations of the clinic.
Ensuring patient confidentiality and compliance with privacy legislation.

About You

You are someone who genuinely enjoys helping people and thrives in a busy healthcare environment. You are organised, compassionate and take pride in delivering outstanding customer service.

Exceptional organisational and time management skills.
High attention to detail.
Strong computer skills and confidence learning new systems.
A professional and empathetic approach to patient care.
The ability to multitask and prioritise competing demands.
A positive attitude and willingness to be part of a collaborative team.

Desirable (but not essential)

Previous experience as a Medical Receptionist.
Experience using Clinic to Cloud or similar practice management software.
Knowledge of Medicare billing and specialist medical practices.
Experience working within mental health services.
