The Workplace Concierge & Reception is the face of J&J's workplace, combining exceptional hospitality with operational excellence. They create first impressions that last, deliver vibrant activations, maintain visible presence across floors, and ensure the workplace runs smoothly through effective facility coordination and issue resolution.
This role requires a genuine passion for people, keen attention to detail, and the ability to balance welcoming warmth with operational precision.
Key Responsibilities include:
Deliver Flawless Hosting & First Impressions

Shape a warm and professional arrival experience for all visitors, employees, and contractors across all touchpoints, including the lobby, Visitor Centre, and workplace floors.

Create memorable first impressions by coordinating closely with security and vendors to prepare for VIP arrivals, large group visits, and formal engagements.

Bring a curious mindset to deliver surprise and delight in every stakeholder and guest engagement.

Be an expert at solving guest problems, assisting with requests such as local dining options, amenities, and transport information.

Provide reception coverage as part of a shared roster, ensuring seamless front-of-house service during peak periods, breaks, absences, and vacation coverage.

Manage visitor registration, security screening coordination, guest sign-in/sign-out procedures, and badging processes as required.

Answer and direct incoming calls promptly and professionally, taking messages and transferring calls as appropriate.

Respond to general inquiries about building facilities, meeting rooms, employee locations, and workplace services.

Maintain reception area presentation, ensuring tidiness, brand materials are current, and amenities are stocked.

Monitor and manage reception technology systems, including phone systems, visitor management software, and booking platforms.
Own End-to-End Event & Activation Delivery

Plan, coordinate, and execute J&J's workplace events and activations calendar, ensuring alignment with the company's culture, values, and strategic goals.

Support the development of a structured annual program of activations, wellness initiatives, seasonal celebrations, and recognition rituals that bring vibrancy and connection to the workplace.

Assist with the setup, delivery, and pack-down of events, ensuring all elements, including space readiness, signage, catering, and AV, are flawlessly executed.

Coordinate with catering, AV, and other vendors to ensure seamless service delivery.
-
Develop and maintain playbooks and process documents to ensure consistency and quality.
-
Manage manual tasks including moving furniture, carrying and lifting event materials, and setting up event spaces.
-
Leverage digital solutions for invitations, RSVPs, agenda sharing, and post-event surveys to streamline processes and gather actionable insights.
Be Proactive and Present Across the Workplace

Maintain a highly visible presence across the workplace, acting as a trusted point of contact.
-
Conduct structured daily floor walk inspections to assess readiness of meeting rooms, pantries, shared spaces, lobby, and arrival zones.
-
Identify and report facility issues during inspections, logging work orders as required.
-
Assist employees and guests with wayfinding, technology support, and general workplace needs.
-
Maintain lobby presentation and ambience through regular monitoring and collaboration with cleaning teams.
-
Demonstrate commitment to understanding the preferences of individuals and groups, creating a first-class hospitality experience.

Provide onboarding support to new starters through Know Your Space tours and first-day desk drops.
-
Support pop-up activations, wellness moments, and mini-events on the floors.
Ensure Flawless Operational Excellence
-
Manage JLL's Corrigo platform to log, track, and close out work orders for operational issues and maintenance requests.
-
Monitor and follow up on work orders to ensure timely resolution and closure.
-
Assist with minor facility management tasks, including coordinating vendors, tracking service requests, and ensuring service standards are met.
-
Manage, document, and regularly update SOPs and playbooks to ensure operational consistency and alignment with JLL platform standards.
-
Manage mail and delivery services in accordance with established SOPs.
-
Assist in managing cleaning vendor coordination and ensuring presentation standards are met across all workplace zones.
-
Work with Security Providers to ensure clear governance and processes are in place regarding building access.
-
Support basic building inspections and report maintenance concerns or safety hazards promptly.
Comply with Policies, Procedures & Platform Management
-
Comply with all JLL and J&J policies and procedures at all times.
-
Manage and maintain proficiency in all required JLL and J&J platforms and systems, including Curve, Work Safe, SharePoint, Viva Engage, Adobe, and Corrigo.

Ensure accurate and timely data entry, reporting, and documentation across all systems.
-
Follow health and safety protocols and ensure compliance in all workplace activities.
-
Support compliance activities, including Permit to Work procedures for contractors and vendors.
Engage Stakeholders & Harness Technology
-
Build strong relationships with J&J leaders, department heads, Executive Assistants, and communications teams to understand their goals and tailor events and services to business needs.

Act as a liaison between internal stakeholders and external partners to ensure seamless coordination.

Respond promptly to stakeholder requests and inquiries with professionalism and care.

Collaborate with base building management to ensure integration with any base building issues, events, or activations.
Enhance Employee Experience & Community
-
Assist with signature moments such as high-impact town halls, cultural days, and guest speaker sessions that inspire employees and guests alike.

Create a sense of community and belonging through thoughtful touchpoints and personalised service.
-
Anticipate needs and proactively address workplace experience opportunities.
-
Champion a culture of hospitality, service excellence, and continuous improvement.
Measure Impact & Drive Continuous Improvement
-
Track event participation, engagement levels, and feedback, and prepare post-event reports with key metrics and improvement recommendations.

Track recurring service gaps and guest feedback, owning issue resolution as the first point of contact.

Escalate operational or service issues promptly to the Workplace Experience Lead, reporting back on trends and opportunities for improvement.

Maintain an ongoing pipeline of ideas and innovations to keep the event program and guest experience fresh and relevant.

Contribute insights and observations from daily interactions to inform workplace strategy.

Certificate or Diploma in Hospitality, Events, Facilities Management, or related discipline preferred.

3+ years in a client-facing service delivery role in a high-profile or corporate environment.

Professional presentation, proactive, empathetic, and passionate about creating exceptional workplace experiences.

Strong commitment to compliance and operational excellence.
-
High energy, positive attitude, and genuine care for people.
-
Ability to perform manual tasks, lift up to 15kg, stand for extended periods, and move frequently throughout multiple building levels.

Flexibility to support events, early morning or evening activations, and occasional extended hours as operational needs require.
