About Us
MedicFirst Saltwater Coast is a vibrant Medical hub located in Saltwater Coast, Point Cook. Our dental division, Alkassab Dental Surgery, has proudly served the local community since 2008. We offer comprehensive dental care with 5 experienced dentists providing services ranging from general consultations and orthodontics to prosthodontics and surgical procedures. Outside of the clinic, we support numerous local sporting clubs and schools, and facilitate multiple social events for staff throughout the year.
About the Opportunity
An exciting opportunity has opened up to join our successful dental team. This is a genuinely career-building position, offering significant opportunities for professional growth. A key focus of this role is patient recall and follow-up, keeping our appointment book full through proactive contact with patients. This role would suit someone who is naturally organised and enjoys speaking with patients over the phone. For dedicated candidates, advancement will include greater responsibilities both clinically and administratively within the practice.
Key Responsibilities:
- Run the patient recall program by identifying patients due or overdue for their next visit and booking them in.
- Use Care Manager (EXACT) to track and follow up high-value patients (crowns, orthodontics, ongoing treatment plans).
- Follow up patients who have ongoing treatment, logging every contact and outcome.
- Keep follow-up lists organised and up to date.
- Schedule patient appointments and manage patient records.
- Provide administrative support, including processing payments and managing dental supplies.
- Prepare treatment plans and cost estimates for patients as directed.
- Maintain constant communication with dentists/manager to ensure all tasks are completed in a timely manner, keeping all relevant parties informed.
- Track and manage labwork movements and associated invoicing per dentist to ensure accuracy and timely follow-up.
- Ensure patients feel comfortable and well-informed during their visits.
- Ensure a welcoming patient experience.
- Assist in creating marketing material.
About You
Required:
- Prior experience in dental administration or assisting. Candidates with no dental experience will need a cover letter explaining why they are interested.
- Confident and friendly on the phone, comfortable making outbound calls daily.
- Highly organised with lists, follow-up schedules, and tracking outcomes.
- Able to answer patient's questions and any concerns they may have.
- Strong computer literacy (proficiency with Microsoft Office Suite required).
- Exceptional attention to detail, proactive problem-solving skills, and critical thinking.
- Excellent interpersonal and communication skills, including active listening.
- Positive attitude, strong teamwork skills, and ability to build rapport with patients and staff.
- Openness to feedback, enthusiasm for learning new systems, and providing input to improve existing processes.
Highly Advantageous:
- Formal training or certification in dental assisting (Certificate III or IV).
- Familiarity with Exact Dental Software and Sidexis imaging software.
- Experience with patient recall systems, outbound calling, or a customer retention background.
- Experience with Canva and Social Media Marketing.
No Direct Experience or Previously Applied?

Working Hours
- Between 25.5 to 38 hours per week.
- Mandatory rotating Saturday shift required.
- 8:30AM-6PM Monday to Friday (9AM-7PM on Thursday)
- 9AM-4PM on Saturday
- ~38 hours would be 4 weekdays + 1 Saturday per fortnight
