We are seeking a self motivated, professional and highly organised Medical Receptionist / Personal Assistant to join our busy specialist Obstetrics and Gynaecology practice on a permanent part-time basis (hours negotiable). This role combines front-of-house reception with high-level administrative and personal assistant support to ensure the smooth operation of the practice.
Key Responsibilities
Reception & Patient Care
- Welcome patients with warmth, professionalism, and empathy.
- Answer incoming telephone calls, emails, and patient enquiries promptly and courteously.
- Schedule, confirm, and coordinate consultations, procedures, and hospital bookings.
- Register new patients and maintain accurate electronic medical records using Genie Solutions software.
- Manage appointment recalls, waiting lists, and follow-up appointments.
- Provide patients with information regarding appointments, fees, and practice policies.
Medical Administration
- Prepare and process referrals, specialist correspondence, pathology and imaging requests.
- Coordinate surgery bookings, hospital admissions, and pre-operative documentation.
- Liaise with hospitals, general practitioners, specialists, midwives, laboratories, and allied health providers.
- Process Medicare, DVA, Eclipse, private health insurance claims, billing, and EFTPOS transactions.
- Ensure patient records are accurate, confidential, and compliant with privacy legislation.
- Use Genie Solutions software for appointment management, billing, patient records, correspondence, and reporting.
Skills & Experience
- Previous experience in a specialist medical practice, preferably Obstetrics & Gynaecology is highly desirable.
- Experience using Genie Solutions medical software is highly desirable.
- Sound knowledge of Medicare billing, Eclipse, private health insurance claims and patient billing processes.
- Excellent customer service and communication skills.
- Strong organisational and time management skills with the ability to manage competing priorities.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office Suite.
- Knowledge of obstetric and gynaecological terminology is highly desirable.

Pay: $52,880.00 – $89,398.25 per year
