Artisan Air installs and services air conditioning and refrigeration across the Northern Rivers — Byron Bay to Ballina, Lismore to the Tweed Coast. Our Office Administrator is the engine room of the business: the person who keeps the accounts accurate, the paperwork compliant, and the office organised so our technicians can do quality work in the field. Our current administrator is moving on after building the role into something she's proud of, and we're looking for the right person to take it over.
About Artisan Air
We're a local team with over 30 years in the industry, supplying and installing Daikin, Mitsubishi Electric, LG and Braemar systems for homeowners, builders, schools, aged care facilities and commercial clients. We compete on skill and reliability, not price. We're based in Ballina and we know the Northern Rivers climate better than anyone.
What you'll do
- Own the accounts in Xero — receivables and bank reconciliation review, accounts payable, supplier payments
- Investigate and resolve customer invoice enquiries using our job management system (SimPRO — training provided)
- Manage the general inbox and be a reliable first point of contact for suppliers and clients
- Keep our compliance records current — contractor statements, insurances, licences
- Coordinate with our external bookkeeper and accountant on payroll and BAS
- Support the Managing Director with documents, correspondence and general administration
- Provide reception cover and help with job bookings when needed
What we're looking for
Required:
- Solid experience in office administration or bookkeeping for a small business
- Confident with Xero (or a similar accounting package and willing to learn Xero quickly)
- Organised, accurate, and comfortable owning your own workload
- Clear, friendly communication on the phone and in writing
Nice to have:
- Experience in a trades, construction or services business
- Familiarity with job management software such as SimPRO
- Payroll experience
Conditions
Full-time, Monday to Friday 8:00am–4:00pm at our Ballina office — no weekends. A stable, friendly team that values honest work and looks after its people.
Pay: $65,000.00 – $75,000.00 per year
