Full Job Description

As our business continues to grow, we're looking for a proactive Office Assistant / Customer Experience Coordinator who enjoys variety, takes pride in their work and genuinely cares about delivering an exceptional customer experience.

This is much more than an administration role. You'll become an integral part of our team, helping keep the business running smoothly while supporting our clients, suppliers and project team.

About the Role

Every day is different. Your responsibilities may include:

Being the first point of contact for clients by phone, email and in person
Delivering a warm, professional and memorable customer experience
Managing calendars, appointments and general office administration
Assisting with project documentation and job administration
Preparing correspondence, reports and other business documents
Maintaining organised digital filing systems
Liaising with clients, suppliers and trades
Supporting our directors and wider team with day-to-day operations
Looking for opportunities to improve systems and processes
Using modern technology and AI tools to improve efficiency and productivity

About You

We're looking for someone who is:

Friendly, positive and genuinely enjoys helping people
An excellent communicator, both written and verbal
Highly organised with exceptional attention to detail
Able to juggle multiple priorities while remaining calm under pressure
A proactive problem solver who takes initiative
Confident using technology and eager to learn new systems
Curious about Artificial Intelligence (AI) and excited to incorporate it into everyday work
Reliable, trustworthy and takes ownership of their work
A team player who contributes ideas and enjoys continuous improvement

Experience with the following is advantageous but not essential:

Microsoft 365
Xero
AI
Experience within the building, construction or design industry
