Jolong Australia is an established supplier of premium window and door systems for residential and commercial applications.
The broader Jolong Group has operated in the window and door industry since 1992 and has developed extensive experience in the manufacture and supply of energy-efficient aluminium, UPVC and specialised window and door systems.
Our Australian operations support customers and projects across South Australia, Victoria, New South Wales and Queensland, with business functions spanning sales and marketing, finance and administration, engineering and technical support, after-sales service, warehousing and logistics.
As our Australian operations continue to develop, we are seeking an experienced Office Manager to join our South Australian head office and take responsibility for the effective coordination and management of our office administration functions.
About the Role
Reporting directly to the Director, the Office Manager will be responsible for managing the day-to-day administrative operations of the Australian head office and providing central administrative coordination across the business.
This is a hands-on management-level position requiring strong organisational capability and coordination skills to manage administrative processes across multiple departments and interstate operations.
The successful candidate will work closely with management, finance, sales and marketing, engineering, technical support, after-sales service, and warehouse and logistics personnel.
Key Responsibilities
· Manage and coordinate the day-to-day administrative operations of the Australian head office.
· Develop, implement and regularly review office administrative systems, procedures and service standards.
· Establish administrative priorities and ensure office support requirements are addressed efficiently.
· Coordinate administrative workflows between sales, finance, engineering, warehousing, logistics and management.
· Review administrative processes and implement practical improvements where required.
· Allocate administrative duties and monitor the completion of assigned work.
· Coordinate administrative support for employees and management.
· Assist with employee onboarding, induction administration, leave documentation, internal records and other staff administrative tasks.
· Coordinate staff meetings, management meetings and internal communications.
· Manage business records, filing systems and document-control procedures.
· Maintain contracts, official correspondence, company policies, supplier records and other business documentation.
· Establish consistent record-keeping and documentation procedures across departments and interstate operations.
· Manage office facilities, equipment, supplies and administrative resources.
· Liaise with landlords, maintenance providers, IT providers, telecommunications providers and other external service providers as required.
· Coordinate office equipment and facilities maintenance.
· Monitor office supplies and coordinate administrative purchasing within authorised limits.
· Maintain administrative records relating to workplace policies, insurance, licences, contracts and other operational requirements.
· Coordinate workplace health and safety administrative documentation and office-related compliance records.
· Monitor administrative renewal dates, documentation requirements and internal deadlines.
· Provide administrative and operational support to the Director.
· Prepare administrative reports and information required by management.
· Coordinate management calendars, meetings, internal deadlines and follow-up actions.
· Facilitate communication between senior management and operational departments.
· Identify administrative issues and coordinate practical solutions with relevant managers and professional advisers.
· Coordinate administrative processes supporting the company's operations across South Australia, Victoria, New South Wales and Queensland.
· Promote consistent office procedures and record-keeping standards across locations.
About You
· Demonstrated experience in office management, administration management or a comparable administrative coordination role.
· Strong organisational and administrative management skills.
· The ability to establish priorities and coordinate multiple administrative functions simultaneously.
· Experience managing office systems, documentation, records and administrative procedures.
· Strong communication and interpersonal skills.
· The ability to liaise effectively with senior management and employees across different business functions.
· Strong attention to detail and the ability to manage deadlines and follow-up actions.
· The ability to work independently, take ownership of administrative functions and identify opportunities to improve office processes.
· The ability to support a multi-department and multi-location business environment.

The position is full-time and ongoing and is based at Jolong Australia's South Australian head office.
