Purpose of the position

The Finance Administration Officer’s primary role is to support the Chief Finance Manager, and the Finance team when directed, to ensure the day to day running of the Finance team.

Responsibilities and duties

- Support to process payroll accurately and on time, ensuring compliance with relevant legislation, awards, and company policies
- Maintain payroll records and employee payroll information, including new starters, terminations, leave, and payroll adjustments
- Manage company credit card reconciliations and ensure all supporting documentation is received and accurately recorded
- Process employee expense claims, verifying approvals and ensuring compliance with company policies
- Assist with accounts payable functions, including processing supplier invoices, matching purchase orders, and preparing payment runs
- Raise, monitor, and track purchase orders through ApprovalMax, ensuring appropriate approvals are obtained
- Reconcile supplier statements and resolve invoice discrepancies in a timely manner
- Prepare and process journal entries as required
- Assist with bank reconciliations and other balance sheet reconciliations
- Maintain accurate and up-to-date financial records within the accounting system.
- File, archive, and manage financial documentation electronically and physically in accordance with company record-keeping requirements
- Support the Finance Manager with daily finance and administrative operations
- Provide administrative support to the accounting department, including preparing reports, maintaining spreadsheets, and updating financial records
- Assist with month-end and year-end closing processes, ensuring all tasks are completed accurately and within required deadlines
- Prepare supporting schedules and documentation for month-end reporting and external audits
- Liaise with employees regarding payroll, expenses, purchase orders, and finance-related enquiries
- Communicate with suppliers to resolve payment and account-related issues
- Monitor outstanding purchase orders and follow up where necessary
- Assist with maintaining the fixed asset register, if required
- Support budget preparation and financial reporting by providing accurate financial information when requested
- Ensure compliance with company policies, accounting standards, and internal controls
- Maintain confidentiality of financial and employee information at all times
- Identify opportunities to improve finance and administrative processes and recommend efficiencies
- Provide backup support for other finance team members during periods of leave or high workload
- Assist with audit requests by providing supporting documentation and reconciliations
- Perform general accounting and administrative duties as required
- Undertake other ad hoc finance and administrative tasks as directed by the Finance Manager

Qualifications and experience

To be successful in this role you will need to demonstrate capability in the following areas:

Aboriginal or Torres Strait Islander heritage and connection to community and culture
Demonstrated awareness and understanding of complex challenges and key issues facing Aboriginal and Torres Strait Islander people and communities.
Certificate III in Business Administration with a minimum of 2 years demonstrated industry experience or no formal qualifications with a minimum 5 years practical experience in the Human Resources field.
Demonstrated experience in the provision of Administration support within a complex and high-paced work environment.
Demonstrated organisational skills, including the ability to effectively prioritise and manage multiple tasks and deadlines.
Well-developed interpersonal, written and verbal communication skills coupled with a high level of professionalism, dedication and enthusiasm.
Excellent customer service skills including a commitment to quality customer service, and the capacity to exercise initiative, discretion and maintain a high level of confidentiality.
Ability to manage competing priorities and deliver timely outcomes with limited supervision.
Demonstrated high level knowledge and experience in using computers and particularly the Microsoft Office Suite and Human Resource databases.
