Full Job Description

Are you organised, proactive, and ready to join a dynamic team? Transit Systems is looking for a full-time Administration Assistant / Receptionist to support our Smithfield depot.

Hours: 38 hours per week, Monday to Friday, 8:00 AM – 4:00 PM (30 min break)
Location: Onsite – Smithfield Depot
Start: Immediate

The salary package includes a complimentary Opal card for travel within NSW, a uniform, and tourism discounts across the Kelsian Group.

What You’ll Be Doing:

Keep depot kitchens stocked with tea, coffee, sugar, and milk for drivers, mechanics, and office staff.
Handle Pre-Departure Slips & Receipts – bundle, archive, and maintain daily records.
Perform data entry for AdBlue, fuel readings, and other operational metrics into our systems; prepare end-of-month reporting.
Manage Lost Property – record, tag, process items, coordinate with NSW portal, organise donations and disposals, and respond to inquiries.
Reception duties – answer phones, greet visitors, manage emails, and provide a friendly first point of contact for depot staff and guests.
TIMS / Operational Support – update driver and vehicle records, track training completions, maintain accurate driver logs, and ensure compliance data is current.
Assist drivers and operations staff with forms, documentation, and internal reporting requirements.
Support daily depot operations, including scheduling, documentation for vehicle maintenance, and monitoring operational compliance.
Prepare and file HR and safety documentation, including pre-employment medical forms, licenses, and competency records.
Assist with fleet and equipment tracking, including vehicle inspections, asset registers, and replacement part documentation.
Coordinate internal communications and notices for depot staff to ensure smooth operational flow.
Support ad hoc projects and administrative tasks as needed to assist the People & Culture and Operations teams.

What We’re Looking For:

Highly organised with strong attention to detail
Comfortable working onsite in a fast-paced depot environment
Experience with administrative systems and data entry (TIMS experience highly regarded)
Able to manage multiple tasks and follow daily procedures consistently
Strong communication skills, both written and verbal
Proactive, reliable, and willing to assist with operational needs across the depot
