Full Job Description

Location: Carlton, NSW 2218

Work Type: Permanent part-time

Sector: Healthcare / Pharmacy Administration

We are seeking a reliable, detail-oriented, and empathetic Accounts Receivable & Administration Officer to take full ownership of our busy billing and credit control functions.

The Role:

Operating semi-independently from your own dedicated administrative workspace above the main pharmacy floor, you will be the vital engine running the full Accounts Receivable function for our extensive Aged Care portfolio. This role perfectly balances focused, quiet back-office ledger management with compassionate, clear communication when dealing with institutional stakeholders and resident families via phone and email.

Key Responsibilities:

Manage the end-to-end Accounts Receivable function across 45+ aged care facilities, ensuring accurate and timely monthly billing cycles.
Proactively follow up on outstanding debts and resolve direct debit failures, balancing professional recovery processes with empathetic client communication.
Liaise directly with facility managers, families, and third-party suppliers to resolve invoicing discrepancies and answer account enquiries.

What We Are Looking For:

Experience: 1–2 years of dedicated experience in Accounts Receivable, collections, or credit control (experience within healthcare, pharmacy, or aged care sectors is highly regarded but not essential).
Systems-Minded: Proficient in specialised billing systems (experience with FRED or Xero is an advantage) and strong intermediate-to-advanced Excel skills.
Communication Fluency: Exceptional verbal and written English skills. You must be comfortable picking up the phone and navigating sensitive, emotional financial conversations with families with absolute tact and diplomacy.
