Introduction
OMERS Infrastructure is hiring an Executive Assistant located in our Sydney office. The role is one of two Executive Assistants supporting a team of 20 investment professionals managing a portfolio of infrastructure investments in excess of $6bn across Australia and India.
You will be a central member of our team, a resourceful self-starter who can work independently with minimal supervision and direction. Your positive attitude, combined with superior organisational and problem-solving skills, will be a critical element of the strong and dynamic team environment we have created.
To be successful in the role, you will need to exercise good judgment, apply strong coordination skills, and show initiative and flexibility in supporting multiple activities across the team. Occasionally, this position may be required to work outside of business hours as part of a global business.
Why Join OMERS Infrastructure
- Support a high-performing infrastructure investment platform with a global presence.
- Work closely with senior investment professionals on complex and dynamic business activities.
- Be part of a collaborative, inclusive and team-oriented culture.
- Gain exposure to international stakeholders and cross-border investment activity.
- Access competitive compensation, benefits and ongoing development opportunities.
As a member of this team, you will be responsible for:
- Providing exceptional support to the Executive and the broader team, noting that the collaborative nature of this role creates an expectation of working in the office at least four days a week.
- Managing and coordinating calendars with conflicting priorities, which often include multiple time zones.
- Coordinating multiple and sometimes complex domestic and international travel arrangements, hotels and itineraries.
- Completing and processing expense reports, invoice approvals, professional registrations and other delegations involving third party service providers.
- Managing onsite and offsite meetings, which includes scheduling and helping prepare agendas, arranging meeting rooms and catering, and assisting with logistics and RSVPs.
- Assisting with preparation and coordination of special functions and department-wide events.
- Updating team address books and the organisation’s Customer Relationship Management (CRM) tool.
- Providing backup and vacation coverage support to other members of the Executive and Office Assistant team, as well as performing additional administrative duties and/or special projects as required, including assisting with general office duties.
To succeed in this role, you require the following attributes:
- Significant experience supporting senior executives and high-performing teams within large, complex organisations
- Strong communication skills and excellent computer literacy across the MS Office Suite.
- An effective team player who can build strong relationships amongst internal and external stakeholders across global offices, and contributes to a positive and inclusive work environment.
- Demonstrates superior customer service skills and works well under pressure, with the ability to prioritise and manage multiple tasks in a demanding environment, adjust to changing work priorities, deal with ambiguity and handle matters expeditiously and proactively in a professional and calm manner.
- Applies resilience and resourcefulness to thrive in dynamic organisations and enjoys taking the initiative to identify and improve on tasks and processes.
- Exercises high levels of discretion, professionalism, tact and judgment to deal with sensitive and confidential materials and matters.
