About the role:
Are you an organised, commercially aware and detail-oriented project controls professional ready to support successful project delivery within one of the world’s leading engineering consulting firms? We are seeking a Project Controller to work closely with Project Managers, technical teams and business leaders to coordinate project setup, monitor project performance, support financial forecasting, maintain quality processes and help keep projects on track.
As part of the Project Controls team, you will be a key support to Project Managers throughout the project lifecycle. You will help implement Stantec’s Project Management Framework by supporting project setup, change management, baseline schedules and budgets, financial monitoring, earned value and forecast updates, reporting, invoicing, accounts payable tracking, and project close-out activities. You will use established tools and dashboards, including Oracle and Stantec project management systems, to provide timely and accurate information that enables effective project and portfolio management.
This role may support multiple Project Managers across a broad portfolio of small, medium and complex building projects, or provide more focused support to larger projects depending on business needs. At CL4, you will be expected to understand the fundamentals of project controls, manage routine activities with limited supervision, proactively escalate issues, and add value by keeping logistics, monitoring, reporting and quality processes running effectively. The role may also include task management of specific project components, as delegated by a Project Manager.
Day to day tasks may involve:
- Assist Project Managers to coordinate and deliver projects in accordance with Stantec’s Project Management Framework, particularly in relation to budget, scope, schedule, profitability, quality and risk.
- Support project setup activities, including project setup forms, server or Project Hub setup, work breakdown structures, baseline budgets, schedules and resource-loaded plans where required.
- Implement established project control processes, including earned value management, management of change, forecast cost and revenue updates, and project performance monitoring.
- Monitor financial transactions, budgets, actuals, unbilled revenue, accounts payable, invoice timing and close-out requirements, identifying slippage or issues and communicating these to the Project Manager.
- Prepare and update project forecasts using Stantec tools, including IPS, IPM and PURS, and support monthly project reporting requirements and financial calendars.
- Run reports from Oracle and BI dashboards to enable Project Managers and business leaders to review project, section, sector and portfolio performance.
- Assist with drafting and tracking project variations, change requests and related interactions with the Project Accounting team.
- Check that contract approvals, subconsultant agreements, insurances, prequalification questionnaires and required project records are in place and stored in accordance with company requirements.
- Support the development and maintenance of project plans, quality management plans, communication processes, risk registers and other project governance documentation as required.
- Assist Project Managers with quality control and quality assurance processes, ensuring procedures are followed, documented and stored appropriately.
- Organise project meetings, record minutes, follow up action items and support communication between project teams, business leaders, Project Accounting and clients where required.
- Support project health, safety and environmental requirements, including RMS requirements, acknowledgements and compliance checks where requested.
- Respond to internal team and external client requests in a timely, professional and organised manner.
To be successful for this role you'll need:
- Experience in project administration, project controls, project finance or a similar support role, ideally within a consulting engineering or professional services environment.
- An understanding of project financials, including budgets, actual costs, forecasts, invoicing, accounts payable and financial reporting.
- Commercial awareness and an understanding of how project scope, schedule, resources and quality influence project delivery and profitability.
- A practical understanding of project management processes, with the ability to support Project Managers in applying project controls and governance requirements.
- Strong organisational and administrative skills, with good attention to detail and the ability to maintain accurate records, reports and documentation.
- Good communication and interpersonal skills, with the confidence to work with Project Managers, technical teams, project accounting teams, business leaders and clients where required.
- The ability to manage multiple projects, tasks and priorities while remaining flexible as project or client requirements change.
- A proactive approach to identifying issues, following up actions, suggesting improvements and knowing when to escalate matters to the Project Manager.
- Strong Microsoft Excel skills and confidence working with project data, schedules, financial information and reporting tools.
- Experience with Oracle, BI dashboards, Primavera P6, Microsoft Project or other project management and scheduling systems would be highly regarded.
