Opportunity to provide administrative and operational support to the Faculty's Centres and Affiliated Institutes Operations team
Base Salary $117,133 + 17% superannuation

We are seeking an experienced Senior Administration Officer and MRI Support to join the Faculty's Centres and Affiliated Institutes Operations team.

The Senior Administration Officer and MRI Support provides administrative and operational support to senior Faculty leadership, Centre and Institute leadership teams, under the general direction of the Head of FMH Centres and Affiliated Institutes, Operations. The role supports the effective delivery of strategic initiatives, governance activities and day-to-day operations across the portfolio.

Your key responsibilities will be to:

oversee daily administrative activities, provide high-level support to senior leadership and stakeholders, ensure governance compliance, manage enquiries with discretion, build effective working relationships, and contribute to strategic planning and process improvements
maintain databases and reports to meet governance and business requirements, compile and analyse data for reports and presentations, coordinate payments and invoices, maintain documentation and records in accordance with University policy, and collect and summarise operational statistics
facilitate strategic external engagement through planning, project support and stakeholder relationship management
coordinate meetings, events and conferences, providing high-level administrative support including drafting correspondence, liaising with stakeholders and managing logistics to ensure successful delivery
support University governance processes by assisting senior leadership with annual reporting, reviews and governance activities, while providing guidance on administrative procedures and processes
undertake ad hoc projects and other duties as required by the Manager, consistent with the responsibilities and classification of the role.

About you

You will:

hold a bachelor's degree in a relevant discipline, such as Business Administration, and/or possess an equivalent combination of relevant education, training and experience
demonstrate the ability to interpret and apply complex policies, procedures and financial processes
have excellent written and verbal communication skills, with the ability to build effective relationships and influence outcomes
have demonstrated experience coordinating meetings, events and activities in a complex environment
have sound financial administration skills, including coordinating payments, invoices and financial information
demonstrate strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines
have advanced Microsoft Office skills, including strong Excel capability for reporting and data analysis
demonstrate initiative, sound judgement and the ability to work independently while contributing effectively as part of a collaborative team.
