As our business continues to grow, we are seeking a proactive, organised and customer-focused HR & Operations Coordinator to join our Melbourne head office.
This is a diverse role that combines recruitment, human resources, office administration, customer relationship management and operational support. You'll work closely with the Director and leadership team to help drive the continued growth and smooth operation of the business.
Key Responsibilities
Recruitment & Talent Acquisition
- Manage end-to-end recruitment for office staff and field technicians.
- Prepare and publish job advertisements across multiple recruitment platforms.
- Screen resumes and conduct initial phone interviews.
- Coordinate interviews with hiring managers.
- Complete reference checks and employment documentation.
- Coordinate onboarding and induction of new employees.
- Maintain a strong talent pipeline for future hiring.
Human Resources
- Maintain employee records and HR documentation.
- Prepare employment contracts and HR correspondence.
- Coordinate probation reviews and performance review schedules.
- Ensure compliance with Fair Work requirements and company policies.
- Assist with employee engagement initiatives.
- Coordinate staff training and professional development.
- Manage employee onboarding and offboarding processes.
Customer Relationship Management
- Contact customers following completed onsite appointments to ensure they are satisfied with the service provided.
- Schedule complimentary follow-up check-ups with our remote support team.
- Explain the benefits of ongoing computer maintenance and preventative support.
- Assist customers with booking future appointments and support sessions.
- Identify opportunities to introduce customers to our annual managed IT support plans.
- Collect customer feedback and encourage online reviews.
- Escalate customer concerns promptly and assist in resolving service issues.
- Maintain detailed records of customer interactions.
Office & Operations
- Manage day-to-day office administration.
- Coordinate office supplies, equipment and facilities.
- Assist with procurement and supplier management.
- Coordinate subcontractor documentation, insurance and compliance records.
- Maintain company asset registers.
- Organise meetings, staff events and internal communications.
- Assist with company documentation, procedures and operational improvements.
Executive & Administrative Support
- Provide administrative support to the Director and management team.
- Prepare weekly and monthly business reports.
- Coordinate diaries, meetings and appointments.
- Assist with business projects and operational initiatives.
- Maintain internal documentation and standard operating procedures.
About You
To be successful in this role, you will have:
- Previous experience in HR, recruitment, office management, administration or operations.
- Outstanding organisational and time management skills.
- Excellent written and verbal communication skills.
- Confidence speaking with customers over the phone.
- A professional, friendly and confident manner.
- Strong attention to detail.
- The ability to manage multiple priorities simultaneously.
- A proactive approach and willingness to take ownership.
- High proficiency in Microsoft Office (Word, Excel and Outlook).
