About The Role

NPS seeks a dedicated, and proactive scheduling administrator for our New Connections Division to support the scheduling and contract administration of multiple contracts.

The role will initially be located at our office in Ringwood office but will move to Northern suburbs of Melbourne by end of the year. Therefore, you must be comfortable to travel to Ringwood for an interim period.

This dynamic role involves managing work schedules for field employees in a fast-paced environment.

Your responsibilities will include, but not be limited to, supporting our client and teams in all administrative related tasks related to our projects.

Main duties include:

Answering inbound and making outbound phone calls.
Supporting and managing team mailbox general customer enquiries
Managing work orders/schedules and job requests received by the client.
Supporting the daily coordination of schedules for field staff.
Completing basic data entry, keeping accurate notes against work orders and assisting with reporting.
Helping field staff with simple enquiries and passing on information as needed.
Liaising with clients and field technicians to help prioritise and schedule jobs and ensure these are completed within contract KPI’s.
Supporting the team to maintain simple processes and procedures.
Ensure all employee and sub-contractor records are maintained accurately, efficiently and in a timely manner.
Complete jobs-management and invoicing requirements
Assisting with processing quotations.
Ensuring work orders data is accurately completed (quality focused) and system notes are uploaded correctly.
Providing general administration and ad hoc support to the team.

The hours are from Monday to Friday between the hours of 8:00am – 5:00pm on a rotating roster.

About You

Exceptional customer service and communication skills.
A positive attitude with a willingness to be flexible and adapt as things change.
Ability to multi-task and prioritise effectively.
A basic ability to think through problems and ask questions when unsure.
Good attention to detail and willingness to follow processes.
Excellent attention to detail (Quality Focused)
Ability to work in a fast-paced environment while staying organised.
Basic computer skills, including familiarity with Microsoft Office.
Experience with Aroflo is a bonus but not required (training provided).
Any previous scheduling or administration experience is helpful, but not essential.
General knowledge of Metro and Regional Melbourne is an advantage, but not mandatory.
