About the Role

The Operations and Maintenance Coordinator is accountable for the effective delivery of operations and maintenance activities by coordinating emergency response claims, interfacing between management and scheduling systems, managing financial close-out documentation, and ensuring operational documentation is reviewed, maintained and compliant. The role acts as a key interface between operations teams, contractors, finance and clients to ensure contractual, financial and documentation obligations are met.

Areas of responsibility and tasks

The Operations and Maintenance Coordinator will be expected to perform the following duties:

Collate operational, financial, and supporting evidence required for claims and variations.

Support the preparation, coordination, and submission of emergency response and incident-related claims to clients.

Coordinate day-to-day operations and maintenance support activities in line with contractual and service requirements.

Liaise with internal teams, contractors, and external stakeholders to support timely delivery of maintenance and response works.

Interfacing between external contractors and management for efficient scheduling.

Monitor operational activities to ensure alignment with agreed procedures and standards.

Maintain accurate records of incidents, claims status, and client correspondence.

Liaise with operations, commercial, and client representatives to resolve claim queries.

Coordinate financial close-out documentation for completed works and emergency responses.

Ensure timely submission of close-out packs in line with finance and contract requirements.

Support transparent and professional communication with clients and internal stakeholders.

Assist in preparing reports and summaries for management and client meetings.

Respond to customer enquiries as a priority.

Operations & Maintenance Coordinator

Competencies and Capabilities

The key competencies and capabilities for this role are:
High level of communication skills required as you will be expected to liaise with other parts of the business and with customers one to one and in a presenting role when required.

Lead by example and holds self and others accountable for safety, performance, and professional conduct.

An understanding of ITS/TCS maintenance practices and standards.

Experience with preventive and reactive maintenance scheduling and data-driven decision-making.

Driven to improve the performance of the contract with a focus on improving utilisation, waste and customer satisfaction.

Ability to coordinate and support key aspects of maintenance contract delivery.

Be willing to change, move from one activity or work area to another, learn new activities.

Work towards the business goals, work well with other people, communicate effectively to a team, and drive a high standard of team morale.

Maintain professional standards when in customer contact situations, to establish feedback against current work and, also, to gather an understanding of any potential future opportunities.

Identifying trends and recommending improvement strategies, innovations, and upgrade proposals.

Ability to manage documentation and financial records accurately

Desired qualifications and experience

It is desirable to have a technical understanding in some/all the following traffic engineering competencies:

Experience with claims, variations or commercial support functions

Experience within the ITS industry, including collaboration with operations teams, contractors, and client stakeholders.

Proficiency in Microsoft Office (Excel, Word, Outlook); familiarity with document control system

Good commercial and contractual acumen

Experience in management and delivery of ITS/TCS projects

Transport ITS standards/specifications

Knowledge of ITS and traffic signal products from across the industry

ISO 9001/45001 system awareness
