Job Description

We're looking for a highly organised and detail-oriented Executive Assistant to join our team in Mitcham, Australia. You will support the executive office, managing complex schedules, coordinating meetings, and ensuring seamless operations across multiple priorities. This is an excellent opportunity for a collaborative professional who thrives in a fast-paced environment and is committed to delivering exceptional support.

Coordination of Executive schedules and calendar management
Coordination of meetings for Executive team and committees, including preparing agendas, electronic minutes and management of confidential documents
Provide timely and accurate information in response to queries by patients, visitors and other customers
Effectively and efficiently liaise with all levels of staff and various other organisations
Responsibility for document creation, revision and control
Assisting with producing and distributing communications to staff and doctors
Provide backup support for the management of doctor Credentialing applications and renewals, and maintaining accurate and up-to-date records of doctor credentials, qualifications, licenses, and certifications.
Planning and execution of events and maintaining event calendars
Collaborate with departments to collect and feature important information for staff newsletters for both sites.
Booking and coordinating Executive travel.
Be involved and support continuous improvement projects and audits being undertaken in the department and the organisation
Assist in compiling data and generating reports to track initiatives
Other administrative tasks as required.

You will need a flexible and adaptable approach with occasional out-of-hours meetings and commitments, you will have excellent time management skills and the ability to manage competing priorities effectively. Your excellent communication and interpersonal skills allow you to engage confidently with stakeholders and deliver a professional service.
