We are seeking a highly organised, computer-savvy, and creative Office Administrator & Christmas Tree Design Coordinator to join our team. This role combines general office administration with online order management, customer communication, and creative Christmas displays for clients.
The successful candidate will be confident using Microsoft Office, including Microsoft Powerpoint, have excellent attention to detail, and enjoy working creatively with clients to develop attractive and customised Christmas displays.
Key Responsibilities
Office Administration
- Manage daily office administration and clerical duties.
- Answer emails, phone calls, and customer enquiries professionally.
- Prepare documents, quotes, invoices, reports, and correspondence.
- Maintain accurate customer records, files, and databases.
- Schedule appointments and coordinate client communications.
- Assist with general office organisation and administrative support.
Online Orders & Processing
- Receive, review, and process online orders accurately and efficiently.
- Enter customer orders and information into internal systems.
- Check product availability, pricing, quantities, and delivery details.
- Coordinate orders with suppliers, warehouse, delivery teams, and other staff.
- Track orders and provide customers with updates when required.
- Resolve order issues, changes, or customer enquiries promptly.
- Ensure all orders are processed correctly and on time.
Microsoft & Computer Skills
- Use Microsoft Word, Excel, Outlook, and PowerPoint for daily administrative tasks.
- Create and maintain spreadsheets, reports, customer lists, and order records.
- Manage emails, calendars, digital files, and online systems.
- Learn and use company-specific software and online ordering platforms.
Christmas Tree Design & Creative Work
- Work with clients to understand their preferred Christmas themes, colours, styles, and requirements.
- Create creative and visually appealing Christmas tree concepts and decorations.
- Assist clients in selecting suitable decorations, colours, ornaments, ribbons, lighting, and themes.
- Develop customised Christmas displays for homes, offices, retail stores, events, and commercial spaces.
- Prepare design ideas, mood boards, presentations, or visual concepts where required.
- Keep up to date with Christmas decorating trends, colours, and creative ideas.
- Work closely with the installation and decorating team to ensure designs are delivered as planned.
Skills & Experience
- Previous experience in office administration, customer service, order processing, or a similar role.
- Strong computer skills and confidence using Microsoft Office.
- Good knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
- Experience with online orders, e-commerce platforms, or order processing is highly desirable.
- Excellent organisational and time-management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Creative mindset with an eye for colour, style, presentation, and design.
- Ability to understand client requirements and turn ideas into creative designs.
- Ability to manage multiple orders and tasks during busy periods.
