Job Summary
We're looking for an exceptional Office Administrator who loves technology, thrives on keeping things running smoothly, and genuinely enjoys being the heartbeat of a busy office. This is a pivotal role for someone who takes pride in the details, communicates with warmth and professionalism, and wants to be part of a team that's going places.
You'll be our clients' first impression and our team's operational backbone, and you'll do it surrounded by people who'll have your back.
Key Responsibilities
- Client Communication & Front-of-House: Be the friendly, professional first point of contact for our clients - answering calls, handling enquiries, and setting the tone for every interaction. You'll work closely with colleagues to deliver a seamless client experience that reflects our firm's values.
- Systems & Data Management: Demonstrate advanced proficiency across our broad software stack, maintaining data accuracy and consistency across platforms. You'll be the person the team relies on to keep our systems sharp and our information trustworthy.
- Administrative & Clerical Support: Support our Accountants with document collation, data entry, and day-to-day operational needs. The kind of behind-the-scenes work that makes a real difference to client outcomes.
- Workflow Execution: Manage documentation, task tracking, and client progress across our workflow softwares, keeping deadlines and deliverables (like annual statements and lodgements) firmly on track.
- Office Operations: Help maintain a clean, organised, and welcoming office environment that reflects our culture, one where clients feel confident and colleagues feel at home.
Skills and Qualifications
- Technology Mastery (Essential): You pick up new software quickly and can navigate multiple non-integrated platforms without missing a beat. Familiarity with our current stack is a strong advantage.
- Attention to Detail: You take genuine pride in accuracy, and are proactive in catching errors before they become problems and keeping client records clean across all systems.
- Organisation: You manage competing priorities with calm and structure, and you know how to keep a busy office moving without things falling through the cracks.
- Communication: You communicate professionally and warmly, in writing and in person, and you understand that how you say something matters just as much as what you say.
- Experience: Prior experience in a business or office administration role, ideally in accounting or professional services, is preferred.
