The Opportunity
As the Executive Assistant for W Digital you will serve as a vital strategic partner providing comprehensive operational support to our General Managers/Directors. Operating within the dynamic WDigital ecosystem, this role goes beyond traditional administration to act as the central anchor and heartbeat of the business unit. You will streamline complex schedules, facilitate critical executive communications, and oversee essential financial and operational processes. Your proactive foresight and ability to navigate ambiguity will directly foster a collaborative, high performing culture and ensure leadership remains positioned for success.
What you'll do

Manage complex, rapidly shifting calendars and travel itineraries for multiple senior executives, prioritising engagements that drive the strategic business agenda.

Lead the planning, execution, and budget alignment of high impact leadership events, including team town halls, executive leadership T offsites, and strategic workshops.

Drive the operational rhythm by orchestrating annual team cadences, monitoring executive budgets, and managing end-to-end financial processes including invoice approvals and expense reconciliations.

Facilitate seamless information flow and executive correspondence across the management chain, acting as a trusted gatekeeper and connector for internal and external stakeholders.

Support People & Culture initiatives by coordinating new starter onboarding sessions, scheduling performance reviews, and maintaining strict confidentiality on sensitive matters.

Optimise day-to-day administrative operations, proactively resolving scheduling conflicts and continuously identifying opportunities to improve process efficiencies.
What you'll bring
-
Experience: 5+ years of dedicated experience supporting multiple senior executives (1:3 & 1:4 ratio) within a fast-paced corporate environment; experience within an Agile ecosystem is highly desirable.

Technical Savvy: Proficiency with Google Suite products, corporate financial systems (such as Expense8, Ariba, or SuccessFactors), FCM travel management tools, and consistent AI usage.

Financial Acumen: Strong confidence navigating budget structures, managing accounts payable, handling cross-charges, and processing corporate credit card reconciliations.

Project & Event Management: Proven capability to organise large-scale corporate events and strategy launches with meticulous attention to detail and strong cost control.

Communication & Collaboration: Exceptional written and verbal communication skills, with the ability to build strong relationships across a diverse executive assistant cohort and stakeholder network.

Mindset: A proactive, self-motivated, and resilient attitude, characterized by high emotional intelligence, discretion, and the ability to remain calm under pressure.
