We are seeking a highly organised and professional Service Coordinator to join our busy dealership operations team. Working a stable 7am to 3pm, Monday to Friday schedule, you will serve as the central administrative link between our customers, field service technicians, and workshop team.
This is a dynamic, fast-paced role that requires exceptional time management, corporate communication skills, and the resilience to handle shifting daily operational priorities.
Reporting to the Service Supervisor, you will take full ownership of the scheduling and service administrative workflow:
Customer & Phone Management: Act as the primary point of contact for service and repair bookings via telephone and email. Provide clients with regular, professional updates on job progress and conduct post-repair follow-ups to ensure satisfaction.
Scheduling & Logistics: Coordinate appointments for pre-delivery, warranty, and service technicians. You will manage the logic of dispatching the right technician to the right site efficiently.
Admin & Invoicing: Manage end-to-end service documentation. This includes processing technician timesheets, tracking lost time, raising purchase orders, preparing repair orders, and finalising customer invoicing.
Fleet & Warranty Support: Monitor preventative service schedules for the hire fleet and accurately collate documentation and parts items to facilitate successful warranty claims.
We need someone structured, resilient, and proactive. The ideal candidate will be:
Skilled at managing time effectively, prioritising urgent tasks, and pivoting quickly when priorities change midday.
Professional, engaging, and clear on the phone, with the ability to handle demanding customer requests using calm, practical problem-solving.
Capable of fast and accurate data entry, proficient with Google Suite, and able to pick up new systems quickly.
Experienced in a similar scheduling, service, or dispatch role, which is highly preferred.
A collaborative team player who works well with supervisors and technicians, maintains a positive attitude, and respects workplace health and safety.
