About the role
We have an opportunity for a Project Coordinator (Portfolio Management) to be part of our Project Management Office, Technology & Communication Services Command. The Project Coordinator performs project management and support activities to contribute to the development and delivery of a range of projects in line with established objectives.

The Project Coordinator (Portfolio Management) is responsible for managing, coordinating, and optimising the intake of project requests across the organisation. This role ensures that all project proposals, demand requests, and work initiatives are assessed, prioritised, and progressed through the appropriate governance pathways. The coordinator acts as a central point of contact between business units, project managers, and the PMO to support effective planning, resource allocation, and portfolio visibility.

Coordinate the end-to-end project intake process, ensuring all requests are complete, accurate, and aligned with organisational standards.

Facilitate demand assessment activities, including initial scoping, prioritisation, and alignment with strategic objectives.

Maintain the project intake pipeline, tracking the status of all submissions and ensuring timely progression through governance forums.

Work closely with business stakeholders to clarify requirements, dependencies, and expected outcomes for proposed initiatives.

Support PMO governance processes by preparing documentation, reports, and recommendations for review panels and steering committees.

Monitor resource demand across the portfolio and escalate potential capacity constraints.

Ensure consistent application of intake frameworks, templates, and evaluation criteria.

Provide insights and reporting on demand trends, pipeline health, and portfolio impacts.

Collaborate with project managers and delivery teams to ensure smooth transition from intake to initiation.

Maintain strong relationships with stakeholders to promote transparency, engagement, and alignment across the organisation.
