About the role

Based at Warwick Farm and reporting to the Executive Assistant, you will provide hands-on administrative and coordination support to three senior executives, giving you real exposure to the inner workings of one of Australia's largest automotive groups.

Your days will include a mix of:

Managing busy executive diaries, a core part of how you will add value from day one
Coordinating travel bookings, including flights and accommodation, so executives can focus on what matters
Preparing for meetings, from setting up the room and arranging refreshments for guests, to ensuring all materials are ready in advance
Triaging a shared corporate inbox, sorting spam, redirecting to the appropriate parties and preparing concise summaries of complaints or feedback for distribution to relevant leaders
Supporting the planning and logistics of events including conferences, summits and the annual Christmas party
Handling office management tasks such as stationery orders and ad hoc requests, keeping the executive floor running without a hitch
Assisting with bank statement reconciliations and Motor Dealer Licence requirements for Queensland operations
Greeting visitors and guests with confidence, representing the executive team professionally at every interaction

About You

You are a calm, organised and proactive administrator who enjoys anticipating what is needed before being asked.

We are looking for someone who brings:

Proven experience in an office administrator or similar support role
Excellent diary and inbox management skills, with a sharp eye for prioritisation
Strong written communication, particularly when drafting or summarising correspondence on behalf of others
Confidence greeting and engaging with a wide range of people, from team members to senior guests
Discretion and good judgement when handling sensitive or confidential information
A practical, solutions-focused approach to managing competing demands across multiple executives
