About the Role
The Maintenance Coordinator will support the coordination and administration of maintenance activities across Roshana Care Group’s facilities.
This is primarily a coordination role rather than a hands-on trade position. You will work closely with facility managers, maintenance officers, contractors, suppliers and internal departments to ensure reactive and preventative maintenance is completed safely, efficiently, within budget and to the required standard.
You will be responsible for monitoring maintenance requests, coordinating contractors, reviewing quotations, following up outstanding work, maintaining accurate records and supporting the department with compliance, audits and performance reporting.
The successful candidate will be practical, highly organised and comfortable managing multiple priorities across a busy and geographically diverse property portfolio.
Key Responsibilities
- Receive, review, prioritise and coordinate reactive maintenance requests across multiple facilities.
- Monitor work orders through Roshana’s facilities management system and ensure they are assigned, updated and completed within the required timeframes.
- Coordinate planned and preventative maintenance programs for buildings, plant, equipment and essential services.
- Liaise regularly with facility managers and maintenance officers to understand operational priorities and provide progress updates.
- Engage contractors and suppliers, arrange site attendance and coordinate access with facility teams.
- Prepare clear scopes of work and obtain, review and compare contractor quotations.
- Confirm appropriate approvals are obtained before work commences.
- Monitor contractors to ensure work is completed safely, professionally and according to the approved scope.
- Review completed work, service reports, photographs and other supporting documentation before closing work orders.
- Maintain accurate records of quotations, approvals, invoices, service reports, warranties and completion evidence.
- Support the coordination of essential building services, including electrical, plumbing, HVAC, fire systems, lifts, security, nurse-call systems, pest control and kitchen equipment.
- Follow up urgent and high-risk maintenance matters and escalate critical issues to the Assets and Maintenance Manager.
- Monitor overdue work orders, recurring faults, contractor response times and maintenance expenditure.
- Assist with the preparation of maintenance performance reports, KPI updates and management summaries.
- Support facility audits, accreditation requirements and the timely rectification of identified maintenance issues.
- Assist with invoice verification by confirming the relevant work order, quotation, approval and evidence of completion.
- Work collaboratively with Procurement, Finance, Operations, Clinical, Compliance and other internal departments.
- Assist with maintenance arrangements for new facilities, acquisitions and operational transitions.
- Support the ongoing improvement of maintenance procedures, systems, templates and reporting processes.
- Provide guidance to facility teams on the correct use of the maintenance management system.
- Undertake other reasonable duties associated with the Assets and Maintenance Department.
About You
You will be a proactive coordinator who takes ownership of tasks and follows matters through to completion. You will be confident communicating with different stakeholders and capable of balancing urgent operational requests with scheduled maintenance activities.
You will also have:
- Previous experience in maintenance coordination, facilities management, property services, construction administration or a similar position.
- Experience coordinating maintenance across multiple sites or facilities.
- Strong planning, prioritisation and time-management skills.
- The ability to manage a high volume of work orders, emails, quotations and follow-up actions.
- Experience working with contractors, tradespeople and service providers.
- The ability to review quotations, invoices, service reports and scopes of work.
- A practical understanding of building maintenance and common facility services.
- Strong written and verbal communication skills.
- Excellent attention to detail and record-keeping ability.
- Confidence using maintenance management software or other work-order systems.
- Competence with Microsoft Outlook, Word and Excel.
- The ability to work independently while contributing positively to a collaborative team.
- A professional, solutions-focused and customer-service-oriented approach.
- The ability to travel to Roshana facilities occasionally, when required.
Desirable Experience
The following experience will be highly regarded:
- Maintenance or facilities coordination within aged care, healthcare, retirement living, disability services or another regulated environment.
- Experience using FMI or a similar computerised maintenance management system.
- Experience coordinating preventative maintenance schedules and compliance-related services.
- Knowledge of contractor compliance, workplace health and safety and risk-management requirements.
- Experience supporting facility audits, accreditation activities or corrective-action programs.
- A relevant qualification in facilities management, building services, project coordination, construction or business administration.
- Previous trade experience or sound technical knowledge of building and essential services.
