Freight Forwarding Admin / Operations Coordinator

Phoenix Supply Chain Pty Ltd is seeking a responsible, organised and trustworthy Freight Forwarding Admin / Operations Coordinator to support our growing Australian operations.

This role is ideal for someone who is detail-oriented, reliable and comfortable coordinating with customers, suppliers, transport companies, customs brokers and our operations team in China.

The successful candidate will support day-to-day shipment coordination, sales administration, data management and communication between our Australian and China teams.

Key Responsibilities

Provide day-to-day administrative and operational support to the Australian team
Follow up shipments and monitor shipment progress
Coordinate with our China operations team regarding suppliers, cargo collection, documentation and shipment status
Communicate with Australian trucking companies, customs brokers, warehouses and other logistics service providers
Assist with booking transport and coordinating local deliveries
Maintain and update shipment records, customer information and operational data
Organise and maintain sales data, customer lists, quotations and sales reports
Assist the sales team with quotation records, customer follow-up information and CRM updates
Prepare and check shipping documents and other operational paperwork
Follow up outstanding information from customers, suppliers and service providers
Respond to emails and telephone enquiries promptly and professionally
Identify issues early and follow them through until resolved
Assist with general office administration as required

About You

We are looking for someone who is:

Able to manage multiple tasks and priorities
A good communicator with customers, suppliers and colleagues
Comfortable working independently without constant supervision
Patient and professional when dealing with operational issues
Willing to learn and develop within the freight forwarding and logistics industry

Requirements

Full Australian driver licence and confidence driving in Melbourne
Good spoken and written English
Mandarin Chinese is strongly preferred, as the role involves regular communication and coordination with our China-based operations team
Good computer skills, including Microsoft Excel, Word and Outlook
Strong data-entry and record-management skills
Previous experience in administration, logistics, freight forwarding, import/export, customer service or operations will be highly regarded
Experience working with trucking companies, customs brokers or freight forwarders would be an advantage
Australian working rights
