Showroom & Sales Administration Coordinator

Valaris Window Furnishings – Castle Hill, NSW

Valaris Window Furnishings is opening a new showroom in Castle Hill, and we are looking for an organised, confident and customer-focused person to manage the showroom while supporting the day-to-day administration of our growing business.

This is a varied role combining showroom customer service, sales support, order processing and customer coordination. You will often be the main point of contact for customers after they place an order, helping ensure every job progresses smoothly from deposit through to installation and final payment.

Key responsibilities

Showroom and customer service

Welcome customers visiting the Castle Hill showroom.
Assist customers with plantation shutters, curtains, blinds, outdoor blinds and other window furnishing options.
Explain product choices, fabrics, colours, lead times and the Valaris ordering process.
Respond to customer enquiries by phone and email.
Maintain a professional, organised and well-presented showroom.
Capture new enquiries and arrange in-home consultations for our sales team.
Follow up showroom enquiries and outstanding quotations where required.

Sales and order administration

Monitor the Valaris CRM for newly accepted quotes and customer orders.
Review job information to ensure the required details and documents have been provided.
Prepare and email purchase orders and job information to suppliers.
Send customers their invoices, payment links and “What Happens Next” information.
Update customer records, order details, payments and job progress in the CRM.
Liaise with suppliers regarding orders, production updates and expected completion dates.
Coordinate with sales consultants, check measurers, installers and management.
Assist with scheduling check measures, deliveries and installations.
Follow up outstanding deposits, progress payments and final payments.
Keep customers informed throughout the order and installation process.
Help resolve general customer service issues professionally and efficiently.
Complete other general showroom and administrative duties as required.

About you

We are looking for someone who:

Has strong administration and organisational skills.
Is confident dealing with customers face-to-face, over the phone and by email.
Can manage several customer orders and priorities at the same time.
Has excellent attention to detail and follows tasks through to completion.
Is comfortable following up payments and having professional conversations about money.
Has good written and verbal communication skills.
Is confident using CRM systems, email, online payment systems and Microsoft Office or Google Workspace.
Can work independently and take ownership of the showroom and administrative workload.
Is proactive, reliable and able to identify issues before they become problems.
Works well with salespeople, suppliers, installers and management.

Previous experience in window furnishings, flooring, furniture, home improvement, interior design or a showroom environment would be highly regarded but is not essential. Training on our products, systems and processes will be provided.
