Working as part of the VET Directorate administration team and reporting to the Directorate Administrator, this role provides efficient and effective administrative support across Vocational Education and Higher Education programs, with a primary focus on supporting Vocational Education courses.
You will provide high-level customer service while maintaining the strictest confidence regarding student records, examination materials and other sensitive information. Working collaboratively with managers, teaching teams and administrative staff, you will support the implementation of Institute policies and procedures and contribute to consistent, high-quality administrative services across the Directorate.
Reporting to the Directorate Administrator, this position suits someone with excellent administrative, organisational and customer service skills who enjoys working collaboratively in a flexible team environment.
This is a 12 months fixed-term opportunity.
What You'll Do
- Provide administrative support across Vocational Education programs and day-to-day student administration
- Support academic administration, including assessment procedures and flexible learning
- Monitor outstanding results, unresolved attendance and training plans, and support departments with rectification procedures and Course Standards
- Assist with the administration of course accreditation and renewal of accreditation processes
- Maintain accurate databases, spreadsheets, records, filing systems and administrative documentation
- Provide finance administration, including processing tax invoices, purchase orders and prompt payments
- Communicate with prospective and current students to provide course information, advice and enrolment support
- Coordinate meetings, events and administrative activities associated with departmental operations
- Maintain relevant and current program information on staff and student portals
- Provide confidential administrative support to the Directorate Administrator, Education Manager and Department Managers, and contribute to projects and continuous improvement initiatives
- Experience in an administrative support role, preferably within an education setting
- Demonstrated high-level administrative and organisational skills, including document presentation, drafting, formatting, spreadsheet development, database maintenance and administrative systems
- Demonstrated experience in, or the ability to undertake, administrative support for internal and external accreditation processes within vocational education
- Excellent written, verbal and interpersonal communication skills, with the ability to liaise effectively with internal and external stakeholders
- Advanced organisational and problem-solving skills, with the ability to prioritise work, meet deadlines and respond to changing priorities
- Demonstrated ability to work effectively both independently and as part of a team
- Ability to use tact, diplomacy and maintain confidentiality
- Demonstrated commitment to Occupational Health and Safety, Anti-Discrimination, Quality Assurance and Continuous Improvement principles
- Experience supporting the student life cycle within a vocational education environment
- Experience using Microsoft Office, SharePoint, CELCAT and Student Management Systems such as STRATA
