Job Description
Reporting to the VP - CEO Office & Strategic Initiatives, the Junior PMO Coordinator provides critical administrative support to the Strategic PMO while assisting with the operational rhythm of the CEO Office. This role is designed for a developing professional with foundational project exposure who is eager to grow their career in a high-growth SaaS environment. You will spend approximately 80% of your time on PMO governance and 20% supporting executive administrative tasks.
Key Responsibilities:
- Strategic PMO Administration (80%): Provide hands-on administrative support across the Strategic PMO. You will maintain project templates, tooling, and RAID registers (Risks, Actions, Issues, and Dependencies). You will be responsible for maintaining governance calendars, tracking reporting timetables, and collecting data inputs for portfolio dashboards and review packs.
- Operational Agility: Act as a flexible coordination point between pillars, maintaining an open mind to jump in wherever support is needed to ensure deadlines are met and business stakeholders remain aligned.
- Continuous Improvement: Identify opportunities to streamline reporting discipline while ensuring strict compliance with ELMO’s information security and privacy policies.
- CEO Office & Ad-hoc Support (20%): Assist with the day-to-day operating rhythm of the CEO Office, including calendar coordination and travel logistics. You will support the preparation of agendas, papers, and follow-up actions for ELT meetings and leadership forums.

To be successful in this role, you will ideally bring:
- Project Exposure/Experience: Previous experience or strong exposure to PMO administration/coordination or project coordination; the components of project governance (RAID logs, decision logs, and status reporting) must not be foreign to you.
- Growth Mindset: A proactive desire to learn and grow within a fast-paced technology environment, with the ability to work calmly under pressure.
- Technical Proficiency: Strong capabilities in Microsoft 365 or Google Workspace. Familiarity with PM software such as Jira, MS Project, or Smartsheet is highly preferred.
- Professionalism: The confidence to interact professionally with senior leadership and technical teams, maintaining high levels of discretion and integrity.
- Communication: Exceptional written communication and a high attention to detail when preparing executive-level briefing materials.
- Attitude/Personality: A can do attitude with a willingness to not only learn but to jump in and assist where needed
- Qualifications: A Bachelor’s degree in Business, Management, or a related field is preferred. Introductory certifications in Project Management (e.g., CAPM, PRINCE2, or Agile) are highly regarded.
- Work Arrangement: As you ramp up in the role, you will be required to be in the office 4 or 5 days per week. Over time, this will transition to a flexible model of 3 days in the office and 2 days from home, with the understanding that additional office time may be required during peak periods or for specific project needs.
