The Role
The Operations Manager reports to the Head of Finance & Operations and is the engine behind the equipment that powers our events. Every event we deliver depends on the right equipment being in the right place, at the right time, and in perfect working order, anywhere in the world. This role owns making that happen reliably and efficiently, then building the systems and automation so it scales without friction.
You will spend most of your time keeping the equipment operation moving: understanding what each event needs, directing our logistics partners to get the right equipment to the right place on time, keeping the fleet efficiently used across concurrent events, and solving the problems that inevitably come up. Much of the day-to-day runs through our partners and project coordinator, but in busy periods you will roll up your sleeves too, placing and reviewing orders, chasing teams for what each event needs, and making sure every event stays under control.
The role reaches well beyond equipment. You will look across how the whole business runs its operations, improve the processes and information flow that bring our events together, and lead the charge on adopting and building AI tools and automations, so we keep scaling as a smarter, leaner operation.
You must be comfortable with autonomy, and equally strong with people. You will be given problems rather than task lists and trusted to make the call, but you will also build the relationships across our delivery, sales, and support teams, and with our external partners, that let you get things done. Clear, concise communication is essential, especially when you are the one holding a team to a deadline. This is a role for an analytical, resourceful problem-solver with a high bar for detail, excellent communication skills, and a genuine drive to make things better.
When and Where
This is a full-time role based in our Ultimo, NSW office.
Our workload follows the event calendar, and on-site days or out-of-hours support, including domestic and international travel, may be required around major events.
Your Duties

Own the equipment fleet end to end: work with delivery teams to understand each event, then manage the availability, location, and utilisation of equipment so the right kit is in the right place at the right time across every event we run.
- Forecast and plan ahead: anticipate equipment needs from the pipeline, keep utilisation high and idle stock low, and advise on what to buy versus what to pool.
- Direct our logistics partners: set clear requirements, hold them to on-time and in-full delivery, continuously improve how we work together, and recommend the best delivery methods and providers.
- Own operational procurement and supplier relationships across equipment, consumables, and the tooling our operations rely on.
- Solve the problems and manage the risk: resolve the non-standard, last-minute logistics challenges so events still run, and build the contingencies and risk register to stay ahead of them.
- Automate the manual: replace manual operational work with scripts, systems, and AI-driven workflows, and champion AI adoption across the business within clear responsible-use boundaries.
- Build the relationships that get things done: work closely across our delivery, sales, and support teams and with our external partners, communicating clearly and keeping everyone aligned and onside, including when holding teams to deadlines.
- Own the systems and processes behind events: improve the operational systems, data, and cross-team workflows that bring events together, and capture knowledge so it is repeatable.
- Drive efficiency and insight: improve operational cost efficiency, and own operational reporting and insight for the function.
Skills and Experience

Essential:

5+ years' experience in an operations, logistics, or supply-chain role, owning outcomes end to end.
- A track record of solving complex, non-standard operational problems under time pressure.
- Experience managing third-party logistics, freight, or delivery partners and holding them to delivery standards.
- Experience optimising asset or resource utilisation, or planning across multiple concurrent projects or events.
- A proven automation track record: a manual process you turned into an automated one.
- Fluency with AI tools as part of daily work, with the judgement to validate their output and use data responsibly.
- Highly autonomous and self-directed, comfortable being given problems rather than task lists, and equally happy to roll up your sleeves when the situation needs it.
- Rigorous attention to detail; you don't ship work you haven't checked.
- Excellent communication and relationship-building skills, able to keep multiple internal teams and external partners aligned and onside.
Desirable:

Experience in the events, live-events, exhibitions, or trade-show industry.
- Familiarity with logistics, asset-management, or inventory systems.
- Scripting or low-code automation experience (e.g. Zapier, Python).
- Experience with international freight, customs, or dangerous-goods shipping.
- Experience with Zapier, Airtable, Wrike, Miro, Claude and Slack.
