The Australian College of Rural and Remote Medicine (ACRRM) is a member-based organisation that strives to set, maintain and promote high quality professional standards for rural and remote medicine. We are seeking a highly professional and proactive Executive Assistant to provide confidential administrative, secretarial and operational support to the General Manager Member Services, executive staff and committees. This pivotal role supports organisational efficiency and effectiveness through expert coordination, stakeholder engagement and executive support, while contributing to ACRRM's positive and collaborative culture.
This role would suit an experienced Executive Assistant who thrives in a fast-paced environment, demonstrates exceptional attention to detail, and enjoys building strong relationships with a diverse range of internal and external stakeholders.
Your duties will include:
Providing comprehensive executive support including diary management, travel coordination, meeting preparation and administrative assistance.
Managing executive communications and acting as a key liaison between internal and external stakeholders.
Coordinating and supporting councils, committees and working groups, including meeting logistics, agenda preparation, minute-taking and action tracking.
Preparing reports, briefing papers, presentations and other documentation to support informed decision-making.
Managing expenditure reconciliations, corporate card administration and related processes.
Supporting member and customer service activities through professional and timely responses to enquiries.
Maintaining accurate records and document management systems.
Providing leadership and coordination of minor projects as required.
Supporting broader administrative functions across the organisation, including reception overflow and backfilling Executive Assistant duties when required.
Qualifications and competencies:
Qualifications in business administration, project management or a related discipline.
Extensive experience providing senior executive support (minimum 5 years).
Demonstrated experience supporting boards, committees or governance groups (minimum 3 years).
Proven ability to work effectively within highly confidential environments and exercise sound judgement.
Advanced organisational and time management skills, with the ability to manage multiple priorities and competing deadlines.
Highly developed Microsoft Office and collaboration platform skills, including Word, Excel, PowerPoint, SharePoint, Teams and Zoom.
Experience with customer relationship management systems, preferably Aptify.
Exceptional written and verbal communication skills and strong stakeholder management capabilities.
Knowledge of the health sector and/or an understanding of rural, remote and First Nations communities will be highly regarded.
