Executive Assistant

About the role

This role provides high-level administrative and strategic support to the C-Suite, to enable effective leadership and operational excellence across S+G. This role holds the responsibilities for executive administrative support across the organisation. Operating in a fast-paced environment, it requires strong foresight, critical thinking, and a proactive approach to problem-solving—always with professionalism, confidentiality and discretion. Success in this role hinges on exceptional communication, operational excellence, and the ability to build trusted relationships across a broad range of stakeholders.

Key Responsibilities

Oversee the management of complex calendars, including scheduling meetings, appointments, and travel arrangements, ensuring optimal time management and prioritisation.
Prepare, edit, and proofread high-quality correspondence, reports, presentations, and other documents on behalf of the C-Suite.
Serve as the primary point of contact for internal and external communications directed to the C-Suite, handling enquiries with professionalism and discretion.
Support strategic people leadership matters including streamlining monthly agendas to ensure appropriate consultation and cadence of internal decision making.
Coordinate and facilitate Board / Committee / ELT meetings as directed, including agenda preparation, minute-taking, follow-up on action items, and logistics.
Anticipate needs and proactively resolve issues to minimise disruptions and maximise productivity.
Organise and maintain confidential files and records, ensuring easy accessibility and information security.
Assist in managing special projects and initiatives, collaborating with cross-functional teams as needed.
Handle sensitive information with utmost confidentiality and exercise sound judgment in decision-making.
Support the C-Suite in preparing for board meetings, executive presentations, and public engagements.
Continuously identify opportunities to improve administrative processes and communication flows.
Assist with planning major organisational events, such as annual conferences.

What will you bring?

Proven experience as an Executive Assistant or similar role supporting C-level executives with an excellent understanding of governance protocols.
Exceptional verbal and written communication skills; ability to draft clear, concise, and professional executive level documents.
Highly organised with strong attention to detail and excellent time management skills.
Proactive and collaborative mindset with the ability to anticipate needs and solve problems independently.
Discretion and integrity in handling confidential information.
Diplomatic and professional, ability to represent the CPO with confidence and discretion.
Strong interpersonal skills and the ability to work collaboratively across all levels of the organisation.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management tools.
Ability to work under pressure and manage multiple competing priorities simultaneously.
