About Adventure Camp
Adventure Camp delivers 100% outdoor, screen-free school-holiday programs for children aged 6–11 across Sydney and Melbourne.
Our three-day camps combine outdoor activities, team challenges and a gamified structure designed to build confidence, independence and friendships.
We are looking for an organised and dependable Admin & Operations Coordinator to take ownership of camp preparation, customer service and recurring administration within our growing business.
About the Role
The primary focus of this position is planning and coordinating Adventure Camp programs.
You will manage the operational timeline for each camp, coordinate staff and venue requirements, prepare camp documentation and act as the primary contact for customer enquiries.
You will also execute our established marketing plan, including customer emails and straightforward website updates.
The role reports directly to the General Manager and involves regular communication with camp leaders, venues, customers and other Adventure Camp team members.
Key Responsibilities
Camp Planning and Operations
- Manage camp plans, operational timelines and pre-camp checklists.
- Coordinate venue bookings, staff availability, rosters, onboarding and pre-camp information.
- Prepare attendance lists, group allocations and operational documents.
- Follow up outstanding actions with staff, venues and suppliers.
- Help resolve operational issues before and during camps.
- Collect post-camp reports, attendance records and incident documentation.
Customer Service and Booking Administration
- Act as the primary contact for general customer enquiries.
- Assist with bookings, changes, credits and camp information.
- Maintain accurate customer and booking records.
- Prioritise urgent pre-camp enquiries and escalate sensitive or unusual matters when required.
Enquiries will generally be answered during the next rostered working period, with more frequent inbox monitoring scheduled immediately before and during camps.
Systems, Safety and Reporting
- Maintain operational policies, procedures, templates and training resources.
- Oversee the administration of Adventure Camp’s safety and risk-management systems.
- Keep risk assessments, staff records and incident documentation current and appropriately filed.
- Help create consistent, efficient processes across all camps and locations.
- Escalate significant incidents or safety concerns to the General Manager.
Marketing and Project Support
- Prepare and send scheduled customer emails and EDMs.
- Complete straightforward website, camp and product-listing updates.
- Schedule approved social-media content when required.
- Assist with venue research, new activities and other agreed operational projects.
Employment Arrangement and Availability
We are open to either a permanent part-time or casual arrangement, depending on the successful candidate’s experience, availability and preference.
The role will generally involve approximately 15–16 hours across three shorter working days during ordinary term weeks. Hours will increase in the lead-up to and during school-holiday periods, particularly over summer.
Because Adventure Camp operates primarily during NSW and Victorian school holidays, reliable availability during these periods is essential. The role may require up to three or four working days per week during peak periods, along with some scheduled early-morning, evening or weekend inbox monitoring.
Additional hours and changes to the usual work pattern will be discussed and agreed in advance. Continuous availability is not required.

Experience and Requirements
Experience in administration, operations coordination or customer service is required.
Experience involving events, recreation, children’s programs, rostering, booking systems, email marketing or website platforms would be beneficial.
Applicants must hold, or be willing and eligible to obtain, the relevant Working With Children Check.
