Are you an accomplished property management or office professional ready for your next career move? Join a premium facility maintenance company that brings corporate standards, precision and professionalism to an industry where those qualities set us apart.
Need Trade Services is not your typical facility maintenance company. We deliver reactive, planned and project maintenance works for a portfolio of valued clients across Adelaide — with the precision and discipline of a corporate professional services firm. Our Business Support team sits at the centre of the client experience: seamless communication, immaculate coordination and service standards that consistently exceed expectations. We hold ourselves to a higher benchmark, and it shows in the partnerships we build with our clients and within our team.
As our Client Services Officer, you’ll be the face of our client experience — the primary point of contact between clients, tenants, field technicians and the Business Support team. You’ll coordinate and schedule reactive, planned and project works, manage client communications to an exceptional corporate standard, and keep accurate job records in our job management system.
This is not an entry-level position. You’ll be trusted to work autonomously from day one, with a structured pathway: you’ll first build a comprehensive understanding of our clients, technicians and scheduling workflows, then progressively take ownership of invoicing and work order financial administration for your assigned operational business units.
- Coordinate and schedule reactive, planned and project works for your assigned business unit(s), maintaining a minimum two-week forward schedule.
- Act as a trusted first point of contact for clients, tenants and site representatives — proactive, professional and solutions-focused.
- Allocate works to field technicians based on skill, availability and location — your knowledge of Adelaide suburbs will be put to great use here.
- Maintain accurate, up-to-date work order and scheduling records in our job management system (Aroflo).
- Process invoicing for your business unit(s) once trained, ensuring billing accuracy and timeliness.
- Champion a safety-first culture — raise and escalate safety concerns, risks and incidents.
- Identify process improvements and efficiencies, working with your manager to create positive change for the wider team and business.
- Collaborate with operational managers, coordinators and the company director as required.
- Experienced professional — a background in property management, facilities administration or a professional office environment is highly suited to this role.
- Self-driven and autonomous — you set the standard through initiative, punctuality, professionalism and a corporate approach.
- People-focused and team-focused — you build strong relationships with clients, technicians and teammates alike.
- Natural leadership qualities — able to positively lead and influence wider teams to meet business objectives and form strong partnerships within our office dynamics.
- A standards champion — you promote business standards across the operational teams you work alongside, ensuring alignment with policies, procedures, SLAs and client agreements.
- Adaptive under pressure — you stay grounded in shifting priorities, pivoting with fluidity and moving effortlessly between competing demands, while remaining resilient through peak periods and challenging situations.
- Solutions-focused and forward-thinking — you pre-empt work capacity, obstacles and emerging patterns, and bring ideas and efficiencies that benefit the whole business.
- Strong organisational and problem-solving skills — with a high degree of data entry accuracy and confidence using reporting to spot trends.
- Accounts exposure — some experience in an accounts function role would be beneficial.
- Valid Class C driver’s licence — required.
- Desirable — Certificate III or IV in Business Administration, Customer Service or similar, and experience with job management or scheduling systems.
- A full-time, permanent role with a structured training and development pathway.
- Consistent business hours — Monday to Friday, 8:00am – 4:30pm.
- Flexi leave — accrue one day of flexi leave per month.
- Two-week Christmas shutdown — enjoy a genuine break over the holiday period.
- Company tech supplied — everything you need to do your best work.
- Company uniforms supplied.
- Company events and team culture — including team breakfasts and our team coffee station.
- A supportive and nurturing Business Support team that sets you up to succeed.
- High standards and a strong commitment to business procedures — we do things properly, every time.
- Genuine scope to shape processes, drive efficiencies and grow with the business.
- A refined, corporate office environment based at our Wingfield location.
- Onsite parking
- A six-month probationary period applies.
