About the Service
This position is based at the Community Forensic Mental Health Service (CFMHS) in Clifton Hill, just 15 minutes from Melbourne's CBD.
CFMHS is a specialist statewide service supporting individuals living with serious mental illness who have offended or are at risk of offending. Our service continues to grow, with established regional programs across Barwon and Hume.
About the Role
The Administrative Assistant - Receptionist plays a vital role in supporting the day-to-day operations of the Community Forensic Mental Health Service.
You will provide professional reception services and high-quality administrative support to clinical teams, senior management and consumers while ensuring confidentiality, accuracy and exceptional customer service.
Key Responsibilities
- Provide a professional and confidential reception service
- Manage incoming calls, enquiries and visitor interactions
- Coordinate and monitor clinician and consumer appointments
- Maintain efficient office filing and information systems
- Enter and maintain consumer and service data across multiple systems
- Update and manage databases, including PMI and CMI/Rapid
- Coordinate incoming and outgoing mail services
- Manage email and fax communications
- Assist with medical record maintenance and archiving activities
- Support broader administrative functions across the service
About You
You will bring:
- Previous experience in a reception or administrative support role
- Experience providing professional and confidential customer service
- Confidence working with telephone switchboard/PABX systems
- Intermediate Microsoft Office skills, including Word, Excel and Outlook
- Strong communication and interpersonal skills
- Excellent organisational skills and attention to detail
- Ability to maintain confidentiality and professionalism at all times
- A respectful, non-judgemental approach when engaging with diverse consumers
Experience working with healthcare or client management systems is advantageous but not essential.
