About the Opportunity
We are seeking an experienced and highly organised Executive Assistant to provide high-level executive and administrative support to our Chief Executive Officer (CEO). A core function of the position is to act as the gatekeeper to the Office of the CEO and ensure the CEO is appropriately briefed prepared and supported to make timely and informed decisions. The role proactively manages access priorities information and workflow into and from the CEO Office.
Based within the Office of the CEO, this role will be responsible for ensuring the effective coordination of the CEO’s diary, meetings, communications, travel, documentation, stakeholder engagements and executive priorities. This is a highly trusted position requiring exceptional professionalism, confidentiality, discretion and cultural awareness. The successful candidate will work closely with the CEO, Executive Management Team, Board members, Aboriginal and Torres Strait Islander community members, Elders and a broad range of internal and external stakeholders.
Key Responsibilities
- Act as the primary gatekeeper for the Office of the CEO by managing access to the CEO and assessing the priority urgency and appropriate pathway for requests meetings correspondence and other matters.
- Manage and prioritise the flow of information and matters to the CEO to ensure the CEO's time and attention are focused on strategic operational governance and stakeholder priorities.
- Ensure the CEO is fully prepared for meetings decisions engagements and commitments through timely coordination of briefing notes meeting papers background information key issues required decisions and relevant stakeholder context.
- Review matters submitted to the CEO for completeness and readiness. Coordinate with the relevant Executive or responsible officer where further information analysis recommendations approvals or documentation are required before CEO consideration.
- Anticipate upcoming CEO requirements by actively reviewing the forward diary key deadlines Board commitments stakeholder engagements and organisational priorities and ensuring preparation occurs in advance.
- Maintain and monitor CEO action registers and executive tracking mechanisms. Follow up agreed actions and escalate outstanding or overdue matters to the CEO as required.
- Protect the integrity and effectiveness of the Office of the CEO by maintaining appropriate boundaries managing competing demands and ensuring matters are directed through appropriate organisational processes before escalation to the CEO.
About You
To be successful in this role, you will bring:

A relevant qualification in Business Administration and/or equivalent industry experience.
- Demonstrated experience providing high-level support to a CEO senior executive or equivalent leadership position including executive gatekeeping prioritisation and preparation of senior leaders for meetings decisions and stakeholder engagements.
- Demonstrated ability to anticipate executive requirements, exercise sound judgement, assess priorities and manage sensitive urgent or high-priority matters with minimal supervision.
- Demonstrated ability to review and coordinate executive information and documentation to ensure matters are complete, accurate and appropriately prepared before presentation to the CEO.
- Demonstrated experience supporting senior executives, including coordinating meetings, agendas, minutes, reports and executive documentation.
- Highly developed organisational and time-management skills, with the ability to manage competing priorities and tight deadlines.
- Exceptional written and verbal communication skills.
- Strong attention to detail and demonstrated ability to manage confidential and sensitive information.
- Demonstrated ability to build effective relationships with senior executives, Board members, community members and key stakeholders.
- Experience in report writing and document control.
- Advanced skills in Microsoft Word, Outlook, Excel and PowerPoint; Canva skills are desirable.
- Ability to work independently while contributing effectively as part of a team.
- Willingness and ability to work outside normal business hours from time to time, as required.

You will also demonstrate a strong commitment to Aboriginal self-determination, cultural safety and the principles of Aboriginal Community Controlled Health Services.

Aboriginal and/or Torres Strait Islander status – 50D Identified Position.
- Satisfactory National Police Clearance issued within the last 6 months.
- Valid WA Driver’s Licence and willingness to travel between DYHS sites as required.
- Commitment to ongoing professional development and training.
