An exciting opportunity exists for an experienced and highly organised Executive Assistant to join the Adult Mental Health Executive Office at Flinders Medical Centre on an ongoing basis.
About the role:
This is a key role providing high-level administrative and confidential executive support to the Clinical Director and Co-Director of Mental Health Services. You will play an important role in supporting the effective day-to-day management of the service, as well as contributing to strategic priorities, projects and initiatives across Mental Health.
Duties for the role will include:
As the Executive Assistant, you will be a trusted and professional first point of contact for the Directors, working with a high degree of autonomy and discretion. You will:
Provide confidential, high-level executive and administrative support to the Directors of Mental Health Services.
Manage competing priorities, coordinate appointments and meetings, and support the effective day-to-day operation of the Executive Office.
Act as a key point of contact for internal and external stakeholders, including the SALHN CEO Office, Ministerial and Department for Health and Wellbeing staff, SALHN executives and managers, Flinders University, external agencies and other stakeholders.
Use sound judgement, discretion, impartiality and tact when managing sensitive and confidential matters.
Coordinate committees and working groups, including organising meetings, preparing agendas, recording minutes and actions, and distributing outcomes.
Undertake research, project and investigative activities and assist with the preparation of reports, executive briefings, correspondence and presentations.
Build effective relationships across SALHN and navigate the organisation to ensure enquiries and issues are directed to the appropriate area and followed through.
Support the accurate and timely processing and reconciliation of invoices through Oracle and Basware.
About you:
We are looking for a highly organised, proactive and adaptable professional who can confidently manage a busy executive environment and work with minimal supervision.
You will have:
Demonstrated experience providing high-level administrative or executive support, preferably within a complex health or public sector environment.
Excellent communication and interpersonal skills, with the ability to engage professionally with people at all levels of an organisation.
A high level of discretion and demonstrated ability to manage confidential, sensitive and sometimes complex information.
Strong organisational skills and the ability to manage competing priorities, meet deadlines and respond flexibly to changing demands.
Excellent written communication skills, including the ability to prepare correspondence, reports, meeting documentation and other executive materials.
Strong research and information-gathering skills to support projects, reports and executive decision-making.
High-level keyboard and computer skills and confidence working across a range of corporate systems.
The ability to exercise sound judgement, work autonomously and build effective relationships across a large and complex organisation.
Previous experience working within a health environment will be highly regarded.
