About Little Guests Collective
Little Guests Collective (LGC) provides professional onsite childcare for weddings, private functions and special events across Perth and regional Western Australia.
Our approach sits somewhere between traditional babysitting and an event childcare service. We create safe, engaging spaces where children can be part of the celebration while parents and families enjoy the event knowing their children are being cared for by an experienced team.
We are looking for experienced early childhood professionals who are confident leading a small team, working independently and taking responsibility for the safe and smooth delivery of childcare services in an event environment.
About the Role
The Wedding & Event Childcare Team Leader is the senior LGC team member onsite and is responsible for leading the delivery of each assigned event.
Unlike a traditional childcare setting, every event is different. You may be working at a winery, wedding venue, hotel, private property or regional location, with different children, families and environments at each event.
You will be responsible for ensuring the service is delivered safely and professionally while also creating a fun, welcoming experience for the children in our care.
The role includes both pre-event coordination and onsite leadership.
Key Responsibilities
Pre-Event Coordination
For events you are allocated to lead, you will be required to:
- Participate in a pre-event handover and review the event brief.
- Liaise with the client ahead of the event to understand their plans, expectations and requirements.
- Review children’s information, ages, medical needs, allergies and other relevant care requirements.
- Familiarise yourself with the venue, designated childcare area and identified hazards or restrictions.
- Understand the event timeline and when children may need to participate in ceremonies, photographs, meals or other parts of the celebration.
- Confirm arrangements with the allocated LGC childcare team.
- Escalate any safety, staffing or operational concerns before the event.
Where pre-event coordination is required, approved coordination time will be paid.
Event Day Leadership
As Team Leader, you will:
- Act as the primary LGC contact onsite.
- Lead and support other LGC team members allocated to the event.
- Allocate responsibilities and supervise the team throughout the service.
- Complete or oversee children’s sign-in and collection processes.
- Confirm authorised collection arrangements and identification where required.
- Conduct an onsite safety check and respond appropriately to emerging hazards.
- Maintain appropriate supervision and staffing arrangements throughout the event.
- Coordinate activities, play, meals, rest and quiet-time arrangements according to the event and children’s needs.
- Support children to participate in appropriate parts of the wedding or event where requested by families.
- Communicate professionally with parents, venue staff, wedding coordinators and other suppliers.
- Manage changes to the planned service as they arise.
- Ensure LGC procedures and safety expectations are followed by the team.
- Manage incidents appropriately, including first aid, documentation and escalation where required.
- Maintain confidentiality and professional boundaries.
- Ensure the childcare area and LGC equipment are appropriately packed down and accounted for at the conclusion of the service.
- Provide an event handover or report to LGC where required.
What We’re Looking For
The Team Leader role carries significant responsibility, so we are looking for people who can confidently take ownership of an event rather than requiring continuous direction.
Ideally, you will have:
- A formal qualification in Early Childhood Education or other relevant childcare qualification.
- Demonstrated experience working with children across a range of ages.
- Experience supervising, leading or mentoring other educators or childcare workers.
- A current Working with Children Check.
- Current First Aid & CPR.
- A current National Police Clearance or willingness to obtain one.
- Strong understanding of child safety, active supervision and duty of care.
- Confidence communicating with parents and other professionals.
- Strong judgement and the ability to make appropriate decisions independently.
- A calm and professional approach when plans change or unexpected situations arise.
- Availability for weekend, evening and late night work.
Formal qualification within Early Childhood Education and Care, Outside School Hours Care, nannying, event childcare or similar environments is a must.
Hours & Pay
This is a casual event based position. Hours will vary depending on bookings and availability.
Team Leader rate: $50.00 per hour + applicable superannuation.
An additional $10.00 per hour is paid for any hours worked between 12:00am and 6:00am.
Team Leaders will also receive paid pre-event coordination time allocated as part of an event.
There are no guaranteed minimum weekly hours. Team members are offered events based on client bookings, staffing requirements, location and individual availability.
Regional Events & Travel
LGC services weddings and events throughout Perth and regional Western Australia.
For events outside the Perth metropolitan area, it is recommended team members travel together to and from the event. This supports team safety, reduces unnecessary travel costs and ensures the team arrives and departs together.
Where a team travels together, the team member who drives the group will receive a transport incentive, with the amount calculated according to the location and travel requirements of the particular event (as an example, Margret River has a $300 transport inventive).
Any specific travel or logistical arrangements will be communicated before the team member accepts the event.
Regional work may involve longer travel days, late night returns or, for some locations, overnight care. Staff are paid for all hours booked by clients (booked for 6 hours, staff get paid for 6 hours). Accomodation is not provided for late night finishes. Accomodation is only included when a client books overnight care and staff are providing services at the provided accomodation or if free accomodation is offered by the client.
Reality of Event Childcare
This role is different from working a regular shift in a childcare centre.
Some events will be busy and highly structured. Others may involve caring for only a small number of children for several hours. You could be helping children participate in a wedding ceremony one moment, running activities the next, and later creating a calm space for children to wind down or sleep.
You need to be comfortable working in unfamiliar venues, adapting quickly and using professional judgement without having a Centre Director standing nearby.
In return, the work is varied, flexible and gives you the opportunity to help families enjoy some of their most important celebrations.
What We Expect From Our Team Leaders
When you accept an LGC event, we expect you to treat that commitment seriously.
Our clients are relying on us to provide safe childcare on a day that often cannot be rescheduled. Reliability, punctuality, communication and professionalism are therefore essential.
Above everything else, our Team Leaders are expected to ensure that children’s safety and wellbeing remain the priority while creating an experience that allows our little guests to enjoy the celebration too.
Pay: $50.00 per hour
