The opportunity
We're looking for an Operations & Shutdown Coordinator to become the person who holds our operations together — the one who knows what plant is where, which tickets are current, what the client needs before the client asks, and what has to happen for the next shutdown to run without a hitch.
This is a genuinely varied role. One day you're building resource plans for a tunnel maintenance shutdown; the next you're chasing a VOC, booking a float, uploading compliance documents to a client portal and getting dockets signed off so accounts can invoice. It spans office coordination, site support, compliance, and plant and personnel logistics — and it comes with real ownership.
It will suit someone from a construction background who is organised, practical and proactive, and who would rather take responsibility for a problem than pass it along.
What you'll be doing
Shutdown coordination
- Preparing plant and personnel organisational charts for tunnel maintenance shutdowns to client requirements
- Reviewing shutdown resource requirements and taking action to fill the gaps
- Recruiting and coordinating additional personnel when needed
- Possible attendance of night-shift maintenance shutdowns, scanning personnel on at pre-start and coordinating site attendance
Plant, equipment and materials
- Booking hired plant and equipment and ordering materials for projects and shutdowns
- Coordinating plant servicing and maintenance
- Organising plant training, Verification of Competency assessments and other required licences
People and compliance
- Onboarding new employees — gathering documentation and arranging company and site-specific inductions
- Monitoring client portals for expired or outstanding plant, personnel and compliance documentation
- Uploading and maintaining plant, employee, safety and project records across client portals
- Assisting with site documentation including Safe Work Method Statements, incident reports and compliance records
Commercial administration
- Formalising information from site teams into spreadsheets and reports for accounts to invoice from
- Obtaining client approval and signatures on daily dockets, and getting completed records to accounts promptly
And the practical side
- Collecting and delivering equipment, materials or documentation to site when required
- Troubleshooting day-to-day operational issues and following them through to completion
What you'll bring
- Experience in the construction industry — ideally civil, mechanical, infrastructure, maintenance or shutdown environments
- A track record coordinating plant, personnel, subcontractors or project resources
- Experience preparing and managing safety and compliance documentation
- Strong administration, spreadsheet and reporting skills
- The ability to take a client requirement and turn it into a clear, practical plan of action
- Confidence dealing with site crews, supervisors, clients, suppliers, hire companies and accounts staff
- Sound problem-solving skills and the ability to work independently without constant direction
- Flexibility to attend site and work night shifts during scheduled tunnel maintenance shutdowns
- A current driver's licence and willingness to travel between the office, suppliers and project sites
Just as important: we need someone dependable who anticipates what's coming next and follows things through. This is not a narrowly defined administration job. The right person will be comfortable moving between the office, a client portal, a hire yard and a night shift in a tunnel as the work demands.
