Job role: Senami is seeking a tech-savvy, creative and proactive IT and Administration Assistant to support the organisation's IT systems, cloud-based CRM systems, administration, digital communications and social media presence. Working with operational and clinical teams, the role will provide practical IT support, maintain accurate CRM information, assist staff to use systems effectively, create engaging content and coordinate social media and website updates. The successful candidate will work independently, use initiative, manage competing priorities and resolve issues promptly.
Key responsibilities
- Provide day-to-day IT support and troubleshoot issues involving computers, printers, phones, software and related equipment.
- Maintain and support the organisation's CRM and other cloud-based systems, including data entry, user support, basic configuration and liaison with software providers when required.
- Provide staff training, guidance and practical support in the effective use of organisational software, systems and hardware.
- Maintain appropriate digital records, user access and confidentiality, and promptly escalate privacy, security or system risks.
- Support fortnightly rostering and contribute to improvements that increase rostering accuracy, efficiency and staff coverage.
- Review IT systems and internal processes, identify opportunities for improvement and provide practical recommendations to management.
- Plan and maintain a consistent social media content calendar that reflects Senami's services, values and brand.
- Create, schedule and publish engaging social media content, monitor engagement and respond or escalate enquiries appropriately.
- Create professional digital and printed materials, including website content, flyers, brochures, presentations and promotional resources in forms of photos and videos.
- Assist with marketing campaigns, service promotion, exhibitions and networking events in collaboration with relevant staff.
- Respond to inbound enquiries in a friendly and timely manner and act as a professional first point of contact for clients, employees and visitors.
- Complete assigned administrative duties, manage deadlines and work collaboratively with operational and clinical teams.
- Maintain an up-to-date inventory register of computers, mobile devices and other technology assets.
- Coordinate allocation, replacement, repair and disposal of IT equipment.
- Ensure equipment is securely configured before being issued to employees.
Mandatory knowledge, skills and requirements
- At least two years' experience in an IT support, IT administration or similar technology-focused role.
- Knowledge of CRM systems or cloud-based CRM systems.
- Demonstrated experience managing social media platforms and scheduling organisational content.
- Experience in website design, website content management or digital publishing.
- Strong content creation and visual design skills, with the ability to produce professional digital and printed materials.
- Strong IT troubleshooting skills and confidence using Microsoft 365 and common business applications.
- A creative mindset and the ability to develop clear, engaging and audience-appropriate content.
- Excellent analytical and problem-solving skills.
- Ability to work independently with minimal supervision.
- Ability to use initiative, take ownership of tasks and follow work through to completion.
- Strong organisation, time-management and prioritisation skills.
- High-level written and verbal communication skills.
- Ability to follow instructions, collaborate effectively and actively participate in team discussions.
- An interest in the disability services and mental health sector and a commitment to respectful, person-centred practice.
- Valid working rights in Australia.
- A current driver's licence and access to a reliable vehicle.
- A current NDIS Worker Screening Check and Working with Children Check, or the ability to obtain all required screening checks before commencing.
Qualifications
- A bachelor's degree, diploma or other relevant qualification in information technology, data management, digital media, marketing, business administration or a related field. Equivalent relevant experience may also be considered.
