About the Role
Ben Moloneys Roller Doors is looking for an organised and proactive Service Scheduler & Administration Coordinator to join our team.
This is a key role within our business. You will be responsible for coordinating our technicians' daily schedules while ensuring customers, suppliers, materials, equipment and paperwork are all organised to keep jobs running smoothly.

Your day-to-day responsibilities will include:
- Planning and coordinating technicians' daily job schedules
- Booking and confirming jobs with customers
- Liaising with customers regarding scheduling, appointments and general enquiries
- Liaising with suppliers regarding parts, materials and orders
- Organising technicians' collection of parts and materials from suppliers
- Ensuring technicians have the required parts, materials and equipment for scheduled jobs
- Organising equipment and machinery hire when required
- Raising and processing customer invoices
- Creating and managing purchase orders
- Answering incoming calls and responding to emails
- Keeping job and customer information accurate and up to date
- Monitoring technician licences and documentation to ensure they remain current
- Assisting the Director with day-to-day administration
- General administration and other ad hoc duties as required
About You
We're looking for someone who is organised, confident and able to think ahead.
You'll be dealing with customers, suppliers and technicians throughout the day, so strong communication skills and the ability to manage changing priorities are important.
Ideally, you will have:
- Previous administration, scheduling or service coordination experience
- Strong organisational and time-management skills
- Excellent attention to detail
- Confidence communicating with customers, suppliers and tradespeople
- The ability to prioritise and reorganise schedules when circumstances change
- Experience with invoicing and purchase orders
- Good computer and email skills
- Works well as part of a small team and is comfortable learning established processes
- A friendly, professional and reliable approach
Experience working within a trade, construction, maintenance or service-based business would be highly regarded.
Experience with Tradify, Xero or similar job-management/accounting systems would be an advantage, but isn't essential.
