The Role
We're looking for an Admin Assistant to join our operations team and become an integral part of how we manage jobs, communicate with customers, and keep our business running smoothly.
This is an entry-level role with real growth potential. You'll work across multiple systems and directly support our customers, field team, operations manager and director. This role will expand to 5 days once you have completed the initial training.

What You'll Be Doing
You will handle a mix of customer-facing and back-office work:
Reception & Customer Communication
- Answer incoming calls from customers and agents
- Book jobs and quotes for our technicians
- Manage customer communications via Podium (our client management platform)
- Provide job updates and handle customer inquiries
Job & Schedule Management
- Coordinate technician schedules across jobs
- Monitor field team progress and workload
- Reschedule jobs when conflicts arise
- Schedule parts pickups from suppliers
- Update job statuses as work progresses in Simpro (our job management software)
Email & Administration
- Triage and manage incoming emails
- Raise work orders and quotes from customer requests
- File and organize emails appropriately
- Handle general admin tasks that keep the business moving
System Management
- Record parts arrivals and manage supplier notifications
- Add new suppliers to our system
- Send customer confirmations via text
- Update job information
Compliance
- Ensure insurance documents and certificates are up to date
- Provide insurance documentation to clients as required
- Track and ensure all company vehicles are registered and compliant
- Maintain compliance records and documentation
About You
Essential
- Proficient with Microsoft Office (Word, Excel, Outlook) and willing to learn new systems and software
- Reliable, organized, and able to juggle multiple tasks
- Good communication skills (written and verbal)
- Central Coast based
Desirable
- Admin or operations background
- Experience with job management or field service software (we'll train if you don't have it)
- Customer service experience
- Ability to work independently
What Makes This Different
Training & Development This isn't a "plug and play” role. We invest in our team. You'll receive structured training on all our systems (Simpro, Podium, Xero) and be supported as you learn the business.
Study Support If you're interested in furthering your skills, we support team members pursuing a Certificate 3 in Business. The position allows for study one day per week.
Room to Grow Starting at 4 days per week, this role expands to 5 days as you complete training. This is a genuine entry point into operations management.
