Purpose
This role is responsible for the materials planning and purchasing for all directs into the Shepparton production site. This role is key to ensure a sustainable material supply chain, providing forecasts to suppliers and working with them on challenges, escalating to procurement if an issue is known or foreseen. This role is key for the implementation of NPD and will play a key role in project meetings. This role will also be key for the introduction of new production lines and the engagement of new co-manufacturers and co-packers needed to fuel the future growth and diversification of the business.
Key Objectives

NPD management – ensure successful NPD launches by providing material rundowns for exiting SKUs and providing out-of-system forecasts to suppliers for new materials

Material planning management for new production lines and new co-packers/co-manufacturers, ensuring material availability for first production, working with commercial to establish new supply chains (e.g. juicing fruit, glass, plastic bottles)

Material management – ensure purchasing in line with the inventory policy, to maintain appropriate raw material inventory on site. Provide forecasts for materials to vendors that are accurate and built on logical assumptions. Lead the material risk forum

Vendor management – work with vendors on issues, escalate within the business or procurement as needed – this includes tracking of material milestones vs standard lead times and escalating if milestones are not achieved on time

DIFOT management – support the management of DIFOT for the site by contributing to BCMs, provide DIFOT reporting for inbound raw materials to track vendor compliance to lead time assumptions, and manually adjust material forecasts as needed based on logical assumptions

Inventory & accounting control – participate in stocktakes for raw materials, ensure effective and timely Invoice matching

Production management – participate in finding alternative products for production if a material is not available at short notice to maintain labour utilization, work with vendors on expedition as required

Inventory reduction – work with supply planning and procurement on methods to reduce raw material and packaging inventory, including write-off management and rundowns, reducing order quantities and coverage, tighter forecasting, and establishing purchasing policy.
Key Responsibilities
Vendor Management

Provide forecasts to vendors for key materials as appropriate – weekly for large vendors, monthly for most vendors, quarterly for small-moving materials or materials we pre-purchase

Escalate issues highlighted by the vendor to procurement or, if necessary, to S&OE or IBP via the Supply Planning lead

Overlay assumptions into forecasts as needed to meet business objectives, e.g. building in NPD volume if not in forecast or if alerted to likely increase in volume due to global events, build in additional forecast volume as appropriate

Proactively calls out and facilitates closure of risk

Track long lead time materials in Excel against key milestones and callout if off track vs standard lead timesThis forms the basis to support other activities below
NPD Management

Provide rundowns for exiting SKUs, recommend production plan or deletion changes to minimise write-off

Set-up system aligned with project requirements including working with the vendor on assumptions

Provide timeline assumptions for purchasing to the NPD team to include in the project lead time

Purchase in line with the project lead time

Escalate if anything is offtrack to the project, participate regularly in NPD calls

Participate in masterdata workflows and system set-up in D365 for new materials

New Production Line Introduction Management

Work with supply planning manager on commissioning timings and requirements for new production lines, to ensure materials are available on time

Work with procurement on the introduction of new supply chains into the business, such as new fruits, glass, plastic bottles, etc

Establish the purchasing policy for the new materials introduced by collaborating with the Head of Supply Planning and procurement

Work with logistics on new material management requirements such as planning for thawing etc
DIFOT Management

Contribute to BCMs as required

Report DIFOT of inbound raw materials against PO requested dates and confirmation dates to track and report supplier compliance. Escalate if off target to procurement and IBP

Participate in stocktakes

Instigate and track initiatives to reduce raw material and packaging inventory, such as order quantity optimisation, purchasing compliance to policy, and ordering lead times

Work with the Head of Supply Planning directly on inventory policy optimisation to further reduce raw material and packaging inventory holdings

Production Support

Work with operations and planning to find alternative products for production if a key raw material is unexpectedly delayed

Support in finding alternatives using the future schedule as a basis, assess what could be brought forward

Labour utilisation and schedule compliance as metrics
Invoicing & PO Control

POs placed on time and old POs/prepayments deleted if no longer relevant

Maintain system accuracy by deleting old or redundant POs and using confirmation dates to track expected arrival times

Invoice matching and processing with account payable to ensure accounting for suppliers is up to date and accurate

If required, work with AP to reconcile against supplier statements
System Maintenance

Maintain and update lead times, MOQs, lot rounding, etc if any of these change over time

Work with procurement to ensure periodic review of inbound planning assumptions against supplier expectations

Highlight where supplier lead times have changed to procurement as opportunities to reduce inventory, and escalate as required
Material Risk Forum Facilitation

Facilitate the material risk forum, including creating slides for S&OE as required and making modifications to minutes during the meeting based on the feedback from others in the meeting

Update the spreadsheet, send out minutes, keep key stakeholders updated on the latest
What You Will Bring to the Role
-
Tertiary qualification in supply chain, or 5+ years’ experience in supply chain
-
2+ years’ experience in material planning or 5+ years’ experience in supply chain, preferably logistics, stock control, procurement, or operations
-
Experience working alongside manufacturing sites highly desirable

Strong analytical and systems capability

Understanding of inventory

Good stakeholder management and communication skills
